Position Description
The University Events (UE) planning team coordinates campus events and provides customer service for meetings and conferences sponsored by student, academic, administrative, external groups and major University Events.
EVENT PLANNER JOB DESCRIPTION
An Event Planner (EP) works alongside professional staff members in University Events to support reservations for all groups across campus. The position follows the process of the reservation all the way from its request to the actual day of event. The EP position does include night and weekend (N&W) coverage which is generally picked at the student's availability. Work is performed on campus in the University Events office.
DUTIES:
  • Coordinate various events for internal, external and student group sponsors.
  • Coordinate and communicate event details with service providers, such as audio-visual, room setup, signage, parking, catering, etc.
  • Establish and maintain professional communication with event sponsors, service providers and staff.
  • Serve as UE representative for events by completing pre-event preparation, greeting event sponsors at events, and overseeing events to conclusion.
  • Assist full-time staff with coordinating and managing larger campus events.
  • Provide event coverage as necessary - particularly to our residential groups who may request extra assistance as needed
  • Participate in planning meetings with sponsors, service providers and staff.
  • Attend training sessions/event planner meetings as required.
  • Assist supervisor with general office operations.
  • Other duties as assigned.

To be eligible for continued employment a student must be enrolled in a degree program at BSU and registered for at least six (6) credits for the semester.

  • Interest in learning about event planning and/or experience with event planning.
  • Strong organizational and interpersonal skills
  • Ability to communicate effectively and professionally with students, staff, professors, and external sponsors.
  • Customer-service and detail-oriented person able to work independently as well as a team environment.
  • Ability to learn new software.
  • Ability to work under pressure.
  • Quick decision making/critical thinking skills.
  • Efficient, reliable, and responsible.

Physical Demands
  • The ability to travel across campus frequently to check on various events and venues.
  • The capacity to lift and carry objects weighing up to 10 pounds, such as signs, promotional materials, or equipment
  • The capability to sit at a computer workstation for extended periods
