What is a Veterinary Data Entry job?

A Veterinary Data Entry job involves accurately entering and maintaining medical records, treatment histories, and client information for a veterinary clinic or animal hospital. Responsibilities include updating patient databases, processing invoices, and ensuring compliance with record-keeping standards. Strong attention to detail and proficiency with veterinary software are essential. This role helps veterinarians and staff access accurate information to provide quality patient care.

What are the key skills and qualifications needed to thrive in the Veterinary Data Entry position, and why are they important?

To thrive as a Veterinary Data Entry professional, you need strong attention to detail, keyboard proficiency, and familiarity with medical terminology, often supported by a high school diploma or equivalent. Experience with veterinary practice management software such as Cornerstone, AVImark, or IntraVet is typically required, and knowledge of data privacy regulations can be beneficial. Excellent organizational skills, reliability, and the ability to communicate effectively with veterinary staff are valued soft skills. These qualities ensure accurate and timely entry of critical patient information, contributing to smooth clinic operations and high-quality animal care.

What does a typical day look like for someone in a Veterinary Data Entry role?

A typical day for a Veterinary Data Entry professional involves inputting patient records, treatment information, and billing details into the clinic’s database with a focus on accuracy and confidentiality. You’ll often work closely with veterinarians, technicians, and front desk staff to obtain and verify information, handle appointment scheduling data, and assist in maintaining up-to-date inventory records. While much of the work is independent and computer-based, collaboration is common, especially when resolving discrepancies or updating medical histories. Attention to detail and good communication skills are essential, as your efforts directly impact the effectiveness and efficiency of clinic operations.

Job description

Veterinary Receptionist

Rye Harrison Veterinary Hospital at Rye Brook is hiring a full-time Front-Desk Receptionist to be the first point of contact for our veterinary clients, playing a crucial role in setting the tone for their visit. We are looking for a customer service professional who excels in a fast-paced environment, communicates clearly, and is passionate about animal care. You'll help shape the culture of a brand-new hospital from day one, working in a modern facility outfitted with state-of-the-art equipment, alongside teammates who are just as excited as you are to build something special. As a sister hospital to our well-loved flagship Rye Harrison location, you'll have the backing of an established team, proven systems, and a trusted name in the community.

As you join our mission, expect to be supported in your work and home life with:

  • A comprehensive benefits package, including medical, dental, and vision insurance
  • Paid time off and a 401(k) plan for full-time employees
  • Professional development opportunities
  • Employee pet discount because we know your pets are family, too.

Salary: $19.00 - $22.00 per hour, determined by the candidate's skills, experience, and qualifications.

Schedule: This is a full-time position with a 4-day work week, Monday – Friday, and every other Saturday.

Responsibilities:

  • Greet and check in clients and patients at the front desk, collect intake information, and confirm appointment details in a professional and welcoming manner
  • Answer and manage a multi-line telephone system, directing calls and responding to inquiries regarding scheduling, services, and general information
  • Perform client check-out, including payment processing, posting charges, and scheduling future appointments
  • Provide composed and compassionate customer service to clients experiencing anxiety, distress, or difficult news regarding their pet's health
  • Perform accurate data entry and maintain organized records in the practice management system following onboarding and training
  • Communicate effectively with clinical staff to relay messages, flag urgent situations, and support efficient daily operations
  • Maintain a clean, organized, and welcoming reception and waiting area

Qualifications:

  • Minimum 1 year of experience in a front desk, receptionist, or customer service representative role — in a medical, dental, urgent care, veterinary, hospitality, or high-volume service environment
  • Demonstrated customer service skills with strong verbal and written communication, including active listening, managing client inquiries, and conveying information clearly and compassionately
  • Experience with appointment scheduling, multi-line phone management, data entry, and payment processing or point-of-sale (POS) systems
  • Strong organizational skills, attention to detail, and the ability to multitask effectively and adapt quickly to new systems and workflows in a fast-paced environment
  • Proficiency in Microsoft Office; ability to learn electronic medical records (EMR) or practice management software through structured onboarding
  • Demonstrated reliability, punctuality, and professionalism, with the ability to work both independently and collaboratively within a team environment
  • Genuine affinity for animals; comfortable working in a clinical environment that includes animal patients

Rye Harrison Veterinary Hospital at Rye Brook is the sister location to our original Rye, NY practice, a full-service, AAHA-accredited hospital that has been serving the pets and families of Westchester and Fairfield Counties for over 60 years. We care for dogs, cats, and exotic pets, offering advanced medical services alongside boarding and grooming. Opening in August 2026, Rye Brook is the next chapter in our growth, and we're building our team now. If you're passionate about exceptional patient care and want to be part of something new, we'd love to hear from you.
