THE POSITION ย 

The Building Operations Coordinator supports the day-to-day facility operations of a high-capacity NHL sports and live entertainment venue by ensuring building operations are planned, scheduled, documented, and tracked through strong administrative control and systems management. This role acts as a key coordinator for the Computerized Maintenance Management System (CMMS) (e.g., IMS 24/7) by processing and scheduling work orders, monitoring preventive maintenance (PM) and inspection compliance, maintaining accurate records, and producing operational reports. Working closely with Building Operations leadership, trades, housekeeping, conversions, Filed of Play, Engineering and vendors, the Coordinator helps ensure the building is safe, functional, and event-ready across all CSEC venues

KEY ACCOUNTABILITIES ย 

Administrative & Systems Management (CMMS / IMS 24/7)ย 

  • Coordinate building readiness before, during, and after events, aligning operational priorities with the event schedule and department plans.
  • Conduct regular walkthroughs to assess cleanliness, functionality, and safety across guest-facing and back-of-house areas; document deficiencies and coordinate follow-up.
  • Assist with coordination of repairs, preventive maintenance, and minor capital projects in collaboration with Building Operations teams and contractors; support planning, access, and documentation as assigned.

Facility Readiness & Maintenanceย 

  • Administer the CMMS (e.g., IMS 24/7): intake, triage, and process incoming work orders; assign to the appropriate trade/team; and schedule to the correct dates/timeframes based on event operations and service level requirements.
  • Cross-reference CMMS schedules with the event calendar/venue booking systems (e.g., VenueOps) to verify that maintenance, inspections, and conversions support event timelines and do not conflict with building access requirements.
  • Monitor daily CMMS activity to ensure scheduled tasks and on-demand work orders are started on time; follow up with leads/supervisors on stalled, postponed, or incorrectly scheduled items and re-plan as required.
  • Track PM and inspection completion, generate overdue/uncompleted reports, and distribute status dashboards to Building Operations leadership and managers with recommended next actions.
  • Coordinate close-out and quality of documentation in the CMMS (labour notes, parts used, failure codes, photos/attachments where applicable) to support audit readiness, trend analysis, and continuous improvement.
  • Provide radio/dispatch-style support during events or active shifts by entering and assigning urgent on-demand requests and communicating status updates to the appropriate team members.
  • Coordinate training logistics and scheduling (including part-time teams), maintain training records where assigned, and support vendor/contractor scheduling to align work execution with operational and event needs.

Event Supportย 

  • Coordinate with internal stakeholders to ensure building services (HVAC, lighting, washrooms, signage, etc.) meet event requirements; escalate issues and track resolution through the CMMS.
  • Maintain awareness of the event calendar; represent the department at planning meetings as required to confirm coverage, access, and timelines for operational support.

Health, Safety & Complianceย 

  • Support compliance with applicable occupational health and safety requirements, local building/fire codes, and venue/league standards.
  • Participate in emergency preparedness planning and training; assist during evacuations or incidents.
  • Coordinate with housekeeping and janitorial teams to ensure sanitation standards are met, especially in high-traffic and premium areas.

THE INDIVIDUALย 

The ideal individual will have the following background:

  • High school diploma required; post-secondary education in Facility Management, Business Administration, Operations, or a related field is considered an asset.
  • 2+ years of experience in building operations coordination, facilities administration, or a similar role, ideally in a high-volume, event-driven environment.
  • Strong computer proficiency, including Microsoft 365; demonstrated ability to learn and administer a CMMS (e.g., IMS 24/7) and produce operational reports.
  • Familiarity with major building systems (HVAC, electrical, plumbing, ice plant) and working knowledge of preventive maintenance and inspection programs are considered assets.
  • Strong organizational and multitasking skills with attention to detail.
  • Ability to work independently and as part of a fast-paced, event-driven team.
  • Proficiency in Microsoft Office; experience with CMMS or facility management software (e.g., 24/7, or similar) preferred.
  • Excellent communication and problem-solving skills.
  • Ability to read and interpret floorplans, schematics, and maintenance instructions.
