Job description

Job Title: Operations Assistant
Overview:
We are growing our team and looking for an Operations Assistant to help support our Sales Team in our Corporate Offices in NYC. This role will be an important part of the team to ensure the highest level of customer service and seamless operations. They will assist in special projects, vendor coordination, order management amp; tracking, shipping amp; logistics support, reporting support and overall customer service. The ideal candidate will have a strong attention to detail, able to manage priorities and time, and have a collaborative team spirit.
Key Responsibilities:
  • Assist the department and team to help plan out shipping, inventory, vendor coordination, order management, and warehousing for the month, quarter and year after production is set.
  • Help review and input orders to ensure timely and accurate fulfillment and communication with the team and external partners/vendors.
  • Help coordinate shipment schedules and assist the team with managing inventory and replenishment for optimal stock levels.
  • Help the team conduct cycle counts, manage damages, and process Return to Vendor (RTV) activities.
  • Assist with pricing, costs, and vendor setup to ensure accuracy and help maintain systems.
  • Help monitor and review compliance with company policies, procedures, and industry regulations.
  • Validate Electronic Data Interchange (EDI) orders and systems for efficient communication and data exchange, helping to resolve any discrepancies, manage order quantities, order values, shipping, EAN codes, and shipping windows.
  • Assist with compiling departmental reporting for analysis and process improvements and/or decision-making support.
  • Assist in planning and scheduling to optimize warehousing and distribution workflows.
  • Help perform reconciliation tasks related to inventory, shipments, and vendor transactions.
  • Provide feedback and suggestions to help improve best practices and increase operational efficiency.
  • Work cross-functionally to help track payments, balances, and credits with finance and other stakeholders.
  • Assist with customer service communications, inquiries, order management and concerns to ensure a high level of customer service and smooth operations.
  • Manage time effectively to meet deadlines and support multiple operational functions simultaneously.
Qualifications:
  • 1-2 years of experience in Operations, consumer goods, retail, or similar industry
  • A bachelor’s degree in Business Administration, Supply Chain Management, Operations, or a related field is preferred. Relevant experience in operations or logistics also a plus.
  • Prior experience in customer service, order management, inventory management, and shipment coordination.
  • Experience assisting with warehousing, distribution, inventory management amp; maintenance, item maintenance, and vendor relationship management.
  • Proficiency with multiple systems, technologies, platforms and applications such as IMS, WMS, OMS, and EDI systems.
  • Strong attention to detail and accuracy.
  • Strong communication and interpersonal skills.
  • Ability to plan, schedule, and manage time effectively in a fast-paced environment.
