Job description

Job Title: Head Secretary – Peru Junior Senior High School

FT/PT Status: Fulltime 

Salary: $20.87 per hour

Health Insurance: Yes

Reports To: Principal or designee

Minimum Qualifications:

1. High school diploma or equivalent required.

2. Two years of post-secondary training and five years of relevant experience.

3. Demonstrated proficiency in office procedures, organization, recordkeeping, and the operation of common office equipment.

4. Proficiency with or willingness and ability to learn digital productivity tools, including Google Workspace (Gmail, Drive, Docs, Sheets, Calendar, Forms, etc.) and other technology platforms used by the school.

5. Ability to learn and effectively utilize school information systems and other digital tools.

6. Strong written and verbal communication skills.

7. Demonstrated ability to multitask, prioritize competing responsibilities, and manage high-volume periods while maintaining accuracy and professionalism.

8. Demonstrated ability to remain calm, courteous, and solution-oriented under pressure.

9. Strong interpersonal and customer service skills, with the ability to interact positively and professionally with students, families, staff, administrators, and community members.

10. Ability to exercise sound judgment, maintain confidentiality, and handle sensitive information appropriately.

11. Ability to work independently while also collaborating effectively with administrators and other office staff.

Job Goal: To provide leadership and coordination for the school office and ensure the efficient, welcoming, and professional operation of the front office. The Head Secretary serves as a central point of communication and support for administrators, staff, students, families, and visitors while coordinating daily office operations and responding effectively to competing priorities.


Duties & Responsibilities: 

 Office Leadership and Daily Operations

  1. Coordinate and oversee the daily operation of the school office to promote an efficient, organized, and welcoming environment.
  2. Serve as the primary point of contact for the front office and assist in coordinating office workflow and responsibilities as directed by administration.
  3. Prioritize competing office responsibilities to ensure that essential tasks are completed accurately, efficiently, and in a timely manner.
  4. Manage multiple competing responsibilities and interruptions while maintaining professionalism, accuracy, and attention to detail.
  5. Anticipate office needs, identify potential problems, and take appropriate action or communicate concerns to administration.
  6. Develop, maintain, and periodically review office procedures, systems, and organizational processes to promote consistency, efficiency, and effective daily operations.
  7. Maintain clear and accessible procedures and resources to support continuity of office operations.
  8. Recommend improvements to office procedures, communication systems, and workflows when opportunities for greater efficiency or effectiveness are identified.
  9. Assist administrators with special projects, deadlines, events, and other responsibilities as assigned.
     Communication and Customer Service

     10. Serve as a professional and welcoming first point of contact for students, families, staff, visitors, and community members.

     11. Answer and direct telephone calls, respond to routine inquiries, take accurate messages, and ensure questions and concerns are directed to the appropriate staff member.

      12. Receive visitors and assist with established visitor check-in and security procedures.

      13. Respond to student, parent, and staff needs with courtesy, discretion, and sound judgment.

      14. Handle challenging or stressful interactions calmly and professionally and seek administrative assistance when appropriate.

      15. Triage incoming administrative email and other communications by identifying urgent matters, responding to routine questions when appropriate, forwarding communications to the appropriate administrator or staff member, and ensuring important matters receive timely attention.

       16. Receive, sort, distribute, and process incoming and outgoing mail, faxes, and other communications.


Administrative Support

17. Prepare correspondence, reports, notices, forms, presentations, and other documents as directed by administration.

18. Gather, organize, and maintain information and data in usable formats.

19. Maintain regular and confidential filing systems in accordance with school procedures and applicable requirements.

20. Maintain accurate records and protect confidential student, personnel, and school information.

21. Maintain administrator calendars and assist with scheduling appointments, meetings, conferences, and interviews.

22. Maintain and coordinate school calendars, including the master calendar, conference rooms, team-teaching schedules, events, and other shared calendars.

23. Assist with the development and maintenance of the annual school calendar in coordination with administration.

24. Prepare and distribute daily announcements and other school communications.

25. Coordinate or assist with school-wide communications, including digital displays, newsletters, forms, flyers, and other materials.

Staffing, Attendance, and Substitute Coordination

26. Monitor staff absences and substitute needs through the district's designated system.

27. Secure substitute coverage as needed and maintain accurate records related to staff absences and substitute assignments.

28. Prepare substitute folders, materials, keys, and other resources as needed.

29. Assist with maintaining staff mailboxes, directories, keys, room assignments, maps, and other staff-related organizational systems.

School Operations

30. Maintain appropriate inventories of office, school, and other designated supplies and place orders as authorized.

31. Assist with the management of supply rooms and other designated inventories.

32. Assist with the distribution and maintenance of parking passes, lockers, keys, bus passes, and other student or staff materials as assigned.

33. Assist with daily school operational needs, including bus communications, drill documentation, student passes, and other time-sensitive office responsibilities.

34. Coordinate with administrators, custodial staff, transportation personnel, technology staff, and other departments as needed to address operational needs.

35. Maintain current staff directories, room assignments, maps, schedules, and other organizational information.

Digital Tools and Technology

36. Utilize Google Workspace and other district-approved digital platforms to organize information, communicate, collaborate, maintain records, and support school operations.

37. Create and maintain digital documents, spreadsheets, forms, calendars, presentations, and other materials.

38. Utilize design and communication tools such as Canva to create professional flyers, certificates, programs, announcements, signage, and other school communications.

39. Demonstrate willingness and ability to learn new software, digital platforms, and technology systems as needed. 

Graduation and Special Events

40. Coordinate administrative and logistical responsibilities associated with graduation and other major school events.

41. Communicate with vendors and outside organizations related to graduation and special events, including coordinating dates, orders, deadlines, and necessary materials.

42. Coordinate cap and gown ordering, diploma orders, graduation materials, honor cords, medals, certificates, programs, and other commencement-related items.

43. Maintain accurate records related to graduation honors, awards, and student participation.

44. Assist with planning and preparation for senior and underclass awards programs and other recognition events.

45. Coordinate calendars, communications, materials, and logistical details for major school events as assigned.

Confidentiality and Professionalism

46. Maintain strict confidentiality regarding student, family, personnel, financial, and other sensitive information.

47. Exercise sound judgment regarding matters that should be handled independently and matters that require administrative attention.

48. Maintain a professional demeanor and positive attitude, particularly during periods of high activity, conflict, or stress.

49. Demonstrate flexibility and willingness to adjust priorities as school needs change.

50. Establish and maintain effective working relationships with administrators, teachers, support staff, students, families, and community members.

51. Perform other duties as assigned by the principal or designee

At-will employee. Salary and work year shall be in accordance with the current salary schedule and Board-approved policies. 

EVALUATION

Performance of this position will be evaluated annually in accordance with the provisions of the Board's policy on evaluation of nonprofessional personnel.
