Job description

Sample Coordinator

The Sample Coordinator plays a critical role in supporting the Apparel Design, Product Development, and Technical Design teams by managing the lifecycle of all product samples. This position ensures that sample timelines are met, communication with overseas factories is maintained, and all samples are tracked, organized, and accurately reflected in the PLM system. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced, deadline-driven environment.

Responsibilities

  • Monitor apparel sample timelines to ensure all key calendar milestones are achieved
  • Track all sample stages to ensure on-time delivery
  • Receive, open, inspect, and check in all incoming sample packages
  • Maintain accurate sample status updates within the PLM system
  • Manage and update track templates, workflows, and reports within the PLM system
  • Communicate daily with factories/vendors to track sample progress and resolve delays
  • Provide regular sample status updates to the Design team
  • Assist Product Development and Technical Design teams as needed
  • Maintain a clean, organized, and efficient sample closet
  • Ensure all samples are properly labeled, stored, and easy to locate
  • Manage sample check-in/check-out processes for internal teams

Qualifications

  • BA in Fashion Design required
  • Strong organizational skills with exceptional attention to detail
  • Strong critical thinking skills with the ability to organize, prioritize, and manage multiple projects with overlapping deadlines
  • Strong verbal and written communication skills with focus on ability to communicate effectively within a global manufacturing base
