Job description

  • Serve as the first point of contact for phone calls, walk-in inquiries, and online reservation requests. Provide clear guidance, respond to or route inquiries as appropriate, and process reservation requests. Maintain particular expertise in student organization requests while developing and maintaining the knowledge necessary to process all request types.

  • Develop and deliver training and educational resources for students, ECS colleagues, and other campus users to support effective use of the university's online scheduling system. Create, test, evaluate, and revise training content, and assist the Reservations Manager with the collaborative council of campus location approvers.

  • Collect, organize, manipulate, and analyze scheduling and utilization data to create and interpret reports for the Reservations Manager and ECS leadership. Review the use and allocation of campus locations, support accurate annual assessment reporting, and identify opportunities for improved reporting and use of university space.

  • Verify and maintain data in the online reservation system and related ECS tools, with particular attention to student organization status and individuals authorized to request campus locations.

  • Serve as an additional functional and system administrator for the university's online scheduling platform, currently 25Live by CollegeNET.

  • When applicable, supervise and schedule Reservation Specialists and student aides to support reservations operations and office needs during operational hours. Provide leadership and guidance, conduct performance evaluations, and support the work and development of staff. Guide student aides in reviewing the accuracy of event promotion information submitted by units or individuals outside ECS.

  • Coordinate with the Reservations Manager and campus partners on scheduling locations for recurring university needs, including Orientation, Admissions events, Commencement, and other significant university activities.

  • Assist with the execution of significant campus-wide events, including Commencement and Convocation, as assigned.

The work hours for this position may include extended shifts on an occasional basis.

 

Telework may be available for this position up to two days per week during summer and January following the completion of 90 days of service in good standing.

Required Qualifications:

  • Bachelor's degree or expected to graduate with a bachelor's degree by December 2026 (candidates must possess degree at time of hire). 

  • Minimum of one year of work experience.

  • Proficiency in computerized systems.

  • Demonstrated ability to make sound decisions in complex situations.

  • Ability to organize and prioritize multiple responsibilities while meeting deadlines.

  • Working knowledge of collecting, compiling, organizing, evaluating, and reporting data, including mathematical and statistical information.

  • Demonstrated ability to establish and maintain effective working relationships with internal and external constituents.

  • Demonstrated ability to communicate clearly, concisely, and effectively in oral and written formats with a variety of audiences, including students and professional staff.

  • Ability to work both independently and collaboratively while managing multiple tasks

Preferred Qualifications:

  • Working knowledge of 25Live by CollegeNET or experience with a computerized scheduling system.

  • Supervisory experience with one or more direct reports.

  • Current Maryland Crowd Manager certification.

  • Experience with software platforms such as Webex, Zoom, Panopto, and Smartsheet.

  • Experience in a customer service environment.

  • Experience in a higher education environment.

  • Demonstrated ability to build and foster collaborative and effective teams.

  • Strong critical-thinking and innovative problem-solving skills.
