Position Overview

VAI isseekinga detail-oriented and highly organized Event Specialist to support the planning and execution of meetings and events. This roleis responsible forcoordinatinglogistics, vendors, and ensuring seamless event operations.


Key Responsibilities

  • Support planning andlogisticsfor meetings and events, ensuring timelines and deliverables are met
  • Coordinate food and beverage services with venues and vendors
  • Manage event app content and functionality
  • Coordinate staff and vendor housinglogistics
  • Assistwith attendee-focused marketing efforts
  • Coordinate Wi-Fi and audiovisual services
  • Support exhibitors and sponsors
  • Provide customer service to attendees and vendors
  • Manage shipping and tracking of event materials
  • Maintain event websites and ensure accuracy
  • Track and manage event inventory



Qualifications

  • Bachelor's degree in a related field preferred
  • Minimum of 2 years of experience in events, hospitality, or conventions
  • Strong communicationand customer service skills
  • Proficiencyin Microsoft Office Suite
  • Strong organizational and time management skills
  • Ability to manage multiple priorities and meet deadlines
