What is remote email management?

Remote email management involves overseeing, organizing, and responding to email communications from a remote location, often on behalf of individuals or businesses. This role typically includes tasks such as filtering spam, prioritizing urgent messages, drafting responses, scheduling emails, and maintaining inbox organization. Remote email managers help clients save time, ensure important messages are addressed promptly, and maintain professional communication standards. The job may also involve using specialized email management software or tools to increase efficiency.

What are the key skills and qualifications needed to thrive in remote email management, and why are they important?

To thrive as a Remote Email Management Specialist, you need excellent organizational skills, attention to detail, and proficiency in written communication, often supported by experience in administrative roles. Familiarity with email platforms (like Gmail or Outlook), productivity tools (such as Slack, Trello, or Asana), and sometimes CRM systems is typically required. Strong time management, discretion, and responsiveness are key soft skills that help you stand out in this role. These skills ensure efficient handling of communications, maintain professional standards, and support seamless workflows in remote business environments.

What are some common challenges faced in remote email management, and how can they be effectively addressed?

A common challenge in remote email management is maintaining organization and prioritizing messages across multiple inboxes and time zones. Distractions and lack of direct supervision can also make it difficult to respond promptly or filter important emails. To address these challenges, it's helpful to use robust email management tools, set clear daily routines, and establish strong communication with your team regarding priorities and response expectations. Regular check-ins and adopting effective labeling or categorization systems can further enhance productivity and ensure nothing important falls through the cracks.

Job description

Be a Part of our Team!

Join a working team that is dedicated to the mission of the work we do!
Teaching Strategies is an innovative edtech organization focused on connecting teachers, children, and families. As front runners in the early childhood education market, we build dynamic, top-quality digital products that integrate all of the essential elements of a high-quality solution: curriculum, assessment, professional development, and family engagement. We are building a team of results-oriented individuals who will thrive in a collaborative, work-hard/play-hard culture. We pride ourselves on the impact we have on the early childhood field through supporting teachers who are doing the most important work there is, teaching children to become creative, confident thinkers.
Position Overview
Teaching Strategies is seeking an Email Marketing Specialist to own the day-to-day build, quality assurance, and execution of email marketing campaigns and programs in Adobe Marketo Engage. This role is responsible for translating campaign requirements into accurate, well-structured, and timely email programs while maintaining a high standard of operational excellence.ย

The ideal candidate is highly detail-oriented, organized, and comfortable working hands-on in Marketo. They take pride in getting the details right, following established processes, proactively identifying potential issues, and managing multiple campaigns and deadlines without sacrificing quality.ย

This role will work closely with marketing and creative partners to bring campaign strategies and creative assets to life in Marketo. While this position does not own email design or creative development, a strong understanding of email marketing best practices, audience segmentation, testing, and performance metrics will help this person be an effective partner and contribute to continuous improvement.ย

Over time, this person will help make our email marketing operation more reliable and scalable by strengthening processes, maintaining clean and consistent program structures, and identifying opportunities to improve how campaigns are built, tested, and executed.ย
  • Build, test, schedule, and launch email campaigns and programs in Adobe Marketo Engage.ย
  • Build and maintain Marketo programs, including email sends, engagement programs, nurture campaigns, smart campaigns, lists, and operational workflows.ย
  • Translate campaign briefs and business requirements into accurate and well-structured programs within Marketo.ย
  • Own campaign setup from build through deployment, ensuring all requirements are completed accurately and on schedule.ย
  • Perform thorough pre-launch QA, including audience criteria, suppression rules, links, tracking, personalization, dynamic content, tokens, campaign logic, scheduling, and other campaign configurations.ย
  • Test email rendering and functionality across devices and email clients and troubleshoot issues prior to deployment.ย
  • Apply audience management best practices to help ensure campaigns reach the intended recipients while maintaining appropriate exclusions and suppression criteria.ย
  • Implement approved creative assets and content within established email templates in Marketo, partnering with the Creative team on any design or creative needs.ย
  • Execute A/B tests and other campaign tests based on defined testing plans.ย
  • Monitor campaign execution and identify, troubleshoot, and resolve issues that could affect successful deployment or audience experience.ย
  • Support campaign reporting and measurement, including metrics such as delivery, opens, clicks, conversions, and unsubscribes.ย
  • Maintain clean, consistent, and scalable Marketo program structures, naming conventions, documentation, and operational processes.ย
  • Look beyond individual campaign results to identify patterns across audiences, campaign types, messaging, and stages of the customer journey.ย
  • Partner with marketing stakeholders to determine where email can help support broader campaign and performance goals.ย
  • Follow email marketing best practices related to deliverability, consent, list hygiene, segmentation, and subscriber experience.ย
  • Identify opportunities to strengthen QA processes, reduce errors, streamline campaign production, and improve overall marketing operations.ย
  • Collaborate effectively with cross-functional partners to manage campaign timelines, communicate status, surface risks, and ensure campaigns are ready for launch.ย
Qualifications:
  • 2+ years of hands-on experience building and executing email marketing campaigns in Adobe Marketo Engage or a comparable marketing automation platform.ย
  • Demonstrated experience building emails, programs, smart campaigns, lists, audience segments, and campaign workflows.ย
  • Exceptional attention to detail and a strong commitment to accuracy and quality.ย
  • Experience performing comprehensive QA of email campaigns prior to deployment.ย
  • Strong organizational skills and the ability to follow established processes while managing multiple campaigns and competing deadlines.ย
  • Ability to independently troubleshoot campaign setup, logic, audience, and execution issues.ย
  • Working knowledge of email marketing best practices, including audience segmentation, personalization, deliverability, consent, and list management.ย
  • Experience working with marketing performance reports and dashboards; experience pulling and interpreting reports in Power BI is strongly preferred.ย
  • Strong understanding of email marketing metrics and the ability to analyze performance against established goals or KPIs.ย
  • Ability to translate marketing data into observations, insights, and actionable recommendations.ย
  • Strong project and time-management skills with the ability to consistently deliver against deadlines.ย
  • Strong written and verbal communication skills and the ability to collaborate effectively with cross-functional teams.ย
  • Self-motivated, dependable, and comfortable taking ownership of work from campaign setup through successful deployment.ย
  • Basic HTML/CSS knowledge for troubleshooting email builds is a plus.ย
  • Experience with CRM systems and CRM/marketing automation integrations is a plus.ย
  • Experience in the education industry, particularly early childhood education, is a plus. ย
  • Bachelor's degree in marketing, communications, business, or a related field preferred, or equivalent relevant experience.ย
