We are seeking a licensed real estate professional to support transaction coordination and operation file management. This role combines administrative execution, transaction management, marketing support, and client-facing real estate activities.

The ideal candidate is highly organized, proactive, tech-savvy, and comfortable supporting multiple active transactions while also assisting with buyer showings, open houses, and marketing initiatives.


*This position is in-person in the Minneapolis/St. Paul metro area*


Approximately:

  • 60% Transaction Coordination
  • 40% Agent Support & Real Estate Operations

Key Responsibilities

Transaction Coordination (60%)

  • Own the real estate referral process on home sale, purchase and rentals
  • Track referral and transaction documentation from placement through closing
  • Negotiate, monitor and collect referral fees
  • Maintain accurate and compliant transaction files
  • Place orders, process reports and communicate with agents, clients, lenders, title companies, inspector, appraisers and vendors throughout the transaction process
  • Administer lump sum and candidate benefits

Licensed Agent Support (40%)

  • Enter listings and transaction data into MLS
  • Maintain MLS accuracy and compliance
  • Prepare contracts, disclosures, addendums, and listing documents
  • Track signatures and ensure complete documentation
  • Assist with buyer showings and open houses as needed
  • Respond to buyer and seller inquiries
  • Follow up with leads
  • Create newsletters and digital marketing
  • Assist with digital marketing campaigns and online presence management
  • Manage calendars, appointments, and scheduling
  • Maintain CRM systems and client databases

Qualifications

  • Active Minnesota Real Estate License required
  • 2+ years of transaction coordination, agent support, real estate operations or relocation management experience preferred
  • Working knowledge of MLS systems and real estate contracts
  • Strong drive, organizational and multitasking skills
  • Excellent communication and client service abilities
  • Comfortable working independently in a remote environment
  • Proficient with technology, CRM systems, and marketing tools

This would NOT be a good fit for:

  • A licensed agent who wants to actively sell real estate. This role is meant to provide support for a full-time agent plus support for relocation staff, along with directly managing an active caseload of relocation referral files.
