About Madi Lane Bridal

Madi Lane Bridal is a fast-growing bridal wholesale company dedicated to creating beautiful, modern, and accessible bridal collections for retailers and brides. Our team works closely across product, operations, logistics, sales, and finance to ensure our gowns and products are ordered, received, tracked, and delivered with accuracy and care.

We are looking for a detail-oriented and highly organized Purchasing Specialist to join our Utah team. This role will support the product purchasing and receiving process for our wholesale business and will play an important part in maintaining vendor communication, purchase order accuracy, product availability, and operational follow-through.


Position Summary

The Purchasing Specialist is responsible for supporting the day-to-day purchasing needs of Madi Lane Bridal. This includes creating and tracking purchase orders, communicating with vendors, monitoring inventory and order timelines, coordinating with internal teams, and helping ensure product is ordered and received accurately.

The ideal candidate is proactive, organized, comfortable working with data and systems, and able to manage multiple priorities in a fast-paced environment. This position requires strong attention to detail, clear communication, and the ability to follow purchasing processes consistently.


Key Responsibilities

  • Create, review, and maintain purchase orders for bridal gowns, accessories, supplies, and other assigned product categories.
  • Track open purchase orders and follow up on order status, delivery timelines, delays, and discrepancies.
  • Communicate with vendors and internal teams regarding purchasing needs, order updates, pricing, availability, and issue resolution.
  • Monitor inventory levels and assist with identifying purchasing needs based on demand, sales trends, lead times, and business priorities.
  • Review order confirmations, invoices, packing slips, and receiving documents for accuracy.
  • Partner with logistics, warehouse, sales, product, and finance teams to support accurate product flow and timely order fulfillment.
  • Assist in maintaining accurate purchasing records, vendor information, cost details, and product data.
  • Help resolve purchasing or receiving issues, including incorrect quantities, delayed shipments, pricing discrepancies, or missing documentation.
  • Support reporting related to purchasing activity, inventory status, vendor performance, and product availability.
  • Follow company purchasing procedures and approval processes.
  • Identify opportunities to improve purchasing workflows, communication, accuracy, and efficiency.
  • Perform other related duties as assigned.


Qualifications

  • Prior experience in purchasing, procurement, inventory coordination, supply chain, wholesale operations, logistics, or a related administrative role preferred.
  • Strong attention to detail and ability to manage accurate records.
  • Comfortable working with purchase orders, spreadsheets, inventory systems, and business software.
  • Strong written and verbal communication skills.
