Job description

We are seeking a detail-oriented and highly organized Purchasing Associate to join our team. In this role, you will manage and oversee the purchasing and parts processes across various departments using Service Titan, ensuring accuracy, timely processing, and excellent service. You will be responsible for handling purchase orders, tracking special orders, managing inventory, and fostering strong relationships with both internal teams and vendor partners.

Key Responsibilities:

  • Create and execute purchase orders (PO’s) in Service Titan, ensuring accurate quantity, pricing, and tax details.
  • Perform monthly closeout of all purchasing activities, ensuring all transactions are recorded and reconciled.
  • Create, track, and process special orders for all departments within Service Titan.
  • Manage and prioritize part and material requests from technicians to ensure smooth operations.
  • Coordinate the pickup and delivery of parts, ensuring timely availability.
  • Verify warranties for parts and equipment, ensuring proper documentation and tracking.
  • Coordinate vendor warranty returns and complete any necessary paperwork or claims.
  • Identify and implement opportunities for improving business performance and operational efficiency.
  • Monitor the flow of inventory in the parts room, ensuring stock levels are maintained.
  • Oversee and facilitate monthly inventory counts for special-order parts to ensure accuracy.
  • Build and maintain strong working relationships with vendor partners to ensure smooth procurement processes.

Qualifications:

  • Proven experience in purchasing, inventory management, or a similar role.
  • Familiarity with Service Titan or similar service management software.
  • Strong organizational skills with attention to detail.
  • Ability to work efficiently in a fast-paced environment and prioritize tasks.
