Arcetyp LLC is looking for anGrants Management Specialist / Grants Support Specialist to support a US Federal Government client. All work under this contract shall be performed remotely via telework.

Position Overview:
The Grants Management Specialist / Grants Support Specialist provides administrative, analytical, and technical support for the full federal grants lifecycle in support of the Institute of Museum and Library Services (IMLS), including the Office of Library Services (OLS), Office of Museum Services (OMS), and Grants to States (G2S) programs. The position supports federal grant operations within the Electronic Grants Management System (eGMS) and assists Government staff with pre-award, award processing, post-award monitoring, reporting, and grants administration activities in accordance with 2 CFR 200, IMLS policy, and applicable federal regulations. This role supports federal personnel but does not perform inherently governmental functions or make final grant determinations.


Key Responsibilities:

  • Conduct administrative completeness reviews of grant applications and supporting documentation.
  • Review grant application materials including budgets, attachments, strategic plans, narratives, and supporting forms for completeness and administrative compliance.
  • Enter, validate, update, and maintain grant application and award data within eGMS and related tracking systems.
  • Prepare draft eligibility analyses, budget reviews, and administrative findings for Government review and approval.
  • Support peer review activities by assisting with panel setup, reviewer coordination, reviewer troubleshooting, and preparation of panel materials.
  • Prepare spreadsheets, datasets, reports, dashboards, and visualizations supporting grant program management and funding decision processes.
  • Review interim and final performance reports and document administrative findings, compliance concerns, and monitoring observations.
  • Track grantee reporting requirements, overdue submissions, and administrative actions.
  • Prepare draft correspondence, outreach communications, monitoring templates, and status reports for Government review.
  • Process administrative grant change requests, personnel updates, and grant file maintenance activities.
  • Support grants monitoring and closeout activities while maintaining detailed tracking logs and audit-ready documentation.
  • Identify data inconsistencies, anomalies, and missing information and recommend corrective actions.
  • Assist with preparation of Section 508-compliant documents and materials for public posting.
  • Maintain confidentiality and properly safeguard sensitive but unclassified grant information and personally identifiable information (PII).
  • Participate in required security, confidentiality, privacy, and grants management training.
  • Provide weekly status updates and support monthly workload and SLA reporting requirements.

Required Qualifications:

  • Minimum of two (2) years of experience supporting federal grants management operations pursuant to 2 CFR 200.
  • Experience supporting pre-award, post-award, monitoring, compliance, or grants administration activities for a federal agency or federally funded grant program.
  • Experience using electronic grants management systems such as eGMS or similar grant lifecycle management platforms.
  • Strong experience with Microsoft Office 365 applications, including Excel, Teams, Outlook, OneDrive, and Word.
  • Experience using Adobe Acrobat Pro and handling complex PDF documentation.
  • Strong analytical, organizational, and data management skills with high attention to detail.
  • Ability to independently manage workload priorities, meet deadlines, and operate effectively in a remote work environment.
  • Strong written and verbal communication skills.
  • Ability to handle sensitive information in accordance with federal privacy and confidentiality requirements.


Preferred Qualifications:

  • Experience supporting museum, library, tribal, arts, humanities, education, or cultural grant programs.
  • Familiarity with grants administration processes and federal discretionary grant programs.
  • Bachelor of Library Science or Master of Library Science, museum studies background, or tribal program experience, depending on assigned grant portfolio.
  • Experience preparing reports, dashboards, and grant workload metrics.
  • Experience supporting peer review or federal grant panel operations.


Education:
Bachelor's degree preferred in public administration, library science, museum studies, arts administration, humanities, social sciences, business administration, or a related field.


Work Environment:
This position is primarily remote and contractor-site based. Personnel must maintain reliable high-speed internet connectivity, proficiency with Microsoft Teams collaboration tools, and the ability to securely access and process Government-furnished information and systems in accordance with contract requirements.
