A day in the life

The Real Estate & Customer Experience Coordinator supports a Customer Experience Team serving customers across 7.5 million square feet of industrial properties in the Portland markets. The role provides day-to-day operational, communications, payment, recordkeeping, and vendor coordination support to three Real Estate & Customer Experience Managers and two Maintenance Technicians. They work with customers and internal partners across Leasing, Construction, Customer Account, Essentials, Solar, and Energy to keep requests, documents, and transactions moving accurately and on time. This position adds value by creating reliable follow-through across property operations so the team can focus more time on customer needs.

Key responsibilities include:

  • Provide operational and communications support to three Real Estate & Customer Experience Managers and one Maintenance Technician, including routing and following up on incoming calls.
  • Coordinate customer repair requests with managers, the Maintenance Technician, and vendors; monitor online portal tickets through completion and keep status information current.
  • Partner with Leasing, Construction, Customer Account, Essentials, Solar, Energy, and other internal teams to coordinate customer and property needs.
  • Support customer payment collections, update Accounts Receivable reporting databases, and process vendor and customer payments in Accounts Payable platforms with accurate coding and required approvals.
  • Prepare and distribute customer documents and communications, including contact lists, annual payment schedules, annual reconciliations, and work notification memos.
  • Prepare vendor contracts in DocuSign and maintain completed agreements and operational records for utility meters, lockboxes, fire alarm codes, and customer contacts.
  • Maintain property records in accordance with company policies, applicable codes and regulations, governmental directives, and legal requirements.

Building blocks for success

Required:

  • 3+ years of experience in an administrative, customer service, real estate, or related role.
  • Ability to communicate clearly and professionally with customers, vendors, team members, and internal partners.
  • Ability to organize concurrent tasks, prioritize deadlines, and provide timely follow-through.
  • Ability to perform basic calculations and maintain accurate payment, reconciliation, and reporting records.
  • Proficiency with Microsoft Word, Excel, PowerPoint, and Outlook.
  • Ability to handle sensitive information and documentation with discretion, confidentiality, and sound judgment.

Preferred:

  • Valid driver's license and ability to travel to multiple properties.
  • Experience using Yardi and Salesforce.
  • Experience with leases, property records, annual reconciliations, and other property management documentation.
  • Demonstrates willingness and capability to leverage emerging technology, automation, and AI tools to improve efficiency, quality, and speed. Exercises sound judgment, creative thinking, and accountability for outcomes.

Hiring Salary Range of $27.00 - $37.00/hour ($56,000 - $77,000 annual). Salary and whole compensation package (bonus target) to be determined by the candidate's location, education, experience, knowledge, skills, and abilities, as well as internal equity and alignment with market data.
