Job description

Job Title: Document Control Analyst
Location: Merrillville, IN (Hybrid - 3 days onsite)
Duration: 1-Year Contract
Rate: $40 - $50/hr (W2)
Position Overview
We are seeking an experienced Document Control Analyst to lead and manage records and document control activities for a large, complex project environment. This role is responsible for establishing, maintaining, and governing information management processes across internal teams and external stakeholders. The Document Control Analyst will provide direction, oversight, and training to ensure consistent, compliant, and effective document management practices aligned with the Capital Project Management System.
Key Responsibilities
  • Own and oversee all records and document management activities, ensuring accuracy, compliance, and performance
  • Establish and enforce document control protocols for internal teams and external stakeholders
  • Provide day-to-day oversight, guidance, and training to the Document Control team and project teams
  • Develop, maintain, and support the project's Information Management Plan, aligned with the Capital Project Management System
  • Define document strategies across Internal, External, and Vault SharePoint sites, EDMS platforms, and physical document storage
  • Assess project information management requirements and make informed decisions to support business and project needs
  • Develop and implement document control practices and procedures for field offices in collaboration with field staff
  • Conduct business analysis of information flows and determine appropriate document control processes to support operational workflows
  • Assist project teams in meeting schedule, quality, and compliance requirements related to information management
  • Collaborate with stakeholders to manage, protect, and govern project information
  • Manage multiple initiatives using project management principles, providing progress reports and status updates
  • Conduct self-audits to identify gaps and implement corrective actions
  • Lead continuous improvement initiatives to optimize SharePoint and document management systems
  • Coordinate and publish training materials, FAQs, and reference guides
  • Plan and facilitate training sessions (in-person, conference calls, or WebEx)
  • Establish protocols for information updates and records governance across project entities
  • Set up and maintain records management and documentation systems
  • Operate and maintain systems for document collection, classification, retrieval, and retention

Required Qualifications
  • Diploma, certificate, or university degree (level dependent on complexity and autonomy of work)
  • 3+ years of experience in document control, records management, or information management roles
  • Strong understanding of document control systems, SharePoint, EDMS, and records retention practices
  • Experience establishing protocols, procedures, and governance frameworks
  • Ability to make decisions on complex or technical issues with limited formal guidance
  • Strong analytical, organizational, and problem-solving skills
  • Excellent written and verbal communication skills
  • Ability to work independently and exercise sound judgment

Work Environment
