Job description

Hillhouse Construction is seeking a highly organized and detail-oriented Project Billing Coordinator to join our Finance & Accounting team. This role will play a critical part in supporting project billing operations, owner invoicing, lien compliance, certified payroll tracking, and contract administration across multiple active construction projects. The ideal candidate thrives in a fast-paced environment, enjoys working with project teams, and takes pride in maintaining accurate and timely project documentation.

Responsibilities:

  • Assemble and submit owner billing packages, including AIA G702/G703 applications and owner-specific billing formats
  • Coordinate and track conditional and unconditional lien releases from subcontractors and vendors
  • Collect, organize, and maintain subcontractor invoices, backup documentation, and billing support materials
  • Track project retainage, contract values, approved change orders, and balances remaining to bill
  • Work directly with Project Managers to prepare owner invoices and ensure billing accuracy
  • Monitor and report outstanding owner change orders, subcontractor change orders, and pending billings
  • Assist with certified payroll package tracking and prevailing wage compliance documentation
  • Follow up on missing subcontractor releases, invoices, insurance certificates, and project documentation
  • Maintain billing compliance requirements for multiple owners and project contracts
  • Support month-end billing activities and other accounting-related functions as needed

โ€‹Qualifications:

  • 3+ years of experience in construction billing, project accounting, or a related accounting role
  • Strong understanding of AIA billing formats, owner billing requirements, and construction invoicing processes
  • Experience with conditional and unconditional lien releases and California construction billing practices
  • Familiarity with prevailing wage and certified payroll documentation preferred
  • Experience working with multiple active projects and competing deadlines
  • Strong follow-up skills and the ability to coordinate with project teams, subcontractors, and clients
  • Experience with Sage Intacct, Sage Construction Management, or similar construction accounting software preferred
  • Proficiency in Microsoft Excel and other Microsoft Office applications
  • Excellent organizational skills with strong attention to detail and accuracy
  • Ability to prioritize tasks, manage deadlines, and work independently in a collaborative team environment
