Special Projects Billing Clerk

Empire Workforce Solutions is seeking a reliable, organized, and detail-oriented Special Projects Billing Clerk to join our team. This position is responsible for preparing and organizing billing packets, verifying project documentation, processing daily billing tasks, communicating with customers, and maintaining accurate records.

The ideal candidate has strong attention to detail, excellent organizational skills, good computer skills, and the ability to manage multiple tasks in a fast-paced office environment.

  • Monday - Friday
  • Shift: 7:00 AM - 3:30 PM
  • Pay: $17.50 - $18.50 per hour, based on experience

Primary Responsibilities

Special Project Billing Packets

  • Prepare copies of BOLs, inbound and back paperwork for billing packets.
  • Include project estimates and productivity sheets.
  • Staple bills of lading together to keep front-page and warehouse loading information organized.
  • Include required labels and other project supplies.

Special Project Billing

  • Confirm projects were completed in full by reviewing productivity sheets.
  • Verify billing documents contain accurate information.
  • Remove staples and organize paperwork in the proper order:
    1. Estimate
    2. Bill of Lading
    3. Remaining Documents
    4. Productivity Sheet
  • Ensure leftover labels are not included with completed billing paperwork.

Daily Billing Tasks

  • Pull gallonage data from the company website.
  • Calculate and reconcile gallons shipped each day.
  • Verify and scan daily job tickets from nightly orders for billing.
  • Ensure billing information is accurate and complete.

Customer Communication & Project Coordination

  • Use Outlook daily for email communication.
  • Communicate with customers regarding project details.
  • Create and update project estimates.
  • Communicate changes and update documentation as needed.
  • Confirm project materials have arrived.
  • Confirm delivery addresses and project requirements.
  • Provide project status updates.
  • Communicate when projects have been completed.
  • Use Basecamp to communicate and track project information.

Project Labels

  • Verify labels contain the correct information based on project requirements.
  • Track labels for pending projects and ensure they are properly labeled.
  • Prevent non-inventoried labels from accumulating by returning them to the customer or properly disposing of them.

Filing & Archiving

  • Review and maintain the electronic filing system.
  • Archive and organize bills of lading.
  • File and organize additional project documents in the inventory office.
  • Maintain accurate and organized records.

Special Project Logging

  • Start and maintain the logging process for all special projects.
  • Ensure projects are properly documented and tracked throughout the billing process.
Qualifications
  • Previous clerical, administrative, billing, or office experience preferred.
  • Strong attention to detail and accuracy.
  • Excellent organizational and time-management skills.
  • Basic math skills and ability to work with numbers and calculations.
  • Strong written and verbal communication skills.
  • Computer proficiency, including Microsoft Outlook and electronic filing systems.
  • Ability to review documents and identify missing or incorrect information.
