Job Summary
The Administrative Assistant provides front desk and administrative support for Apex Financial Group and plays an important role in creating a professional, welcoming, and organized client experience. This position supports the daily operations of the practice through client communication, scheduling, office coordination, data entry, and administrative project support.
The ideal candidate is friendly, detail-oriented, dependable, and able to manage multiple priorities while maintaining accuracy and confidentiality. This role is well suited for someone who enjoys supporting a team, serving clients, and helping office operations run smoothly. The Administrative Assistant reports to and is employed by Apex Financial Group/Psalm121 LLC.
This is an on-site position in Oshkosh. Working 30-35 hours a week during standard office hours. Compensation is $18/hr. Benefits include: 401(k) with a 3% employer non-elective contribution, Bonuses, Paid time off, Parental leave, flexibility, Paid holidays, Floating holiday, & Paid licensing.

Job Description

Position Roles/Responsibilities/Accountabilities

  • Greet clients and visitors in a professional and welcoming manner
  • Answer incoming phone calls and respond to requests for information
  • Process incoming and outgoing mail and assist with general office correspondence
  • Maintain office supplies and support the professional appearance of shared office areas
  • Update CRM and contact management systems with accurate client information and preferences
  • Input checks received into the blotter and client posting sheets
  • Prepare routine correspondence, reports, and special projects
  • Support administrative projects, practice programs, and processing functions as needed
  • Assist Financial Advisors with preparation and follow-up for client meetings
  • Schedule client meetings on behalf of the practice's Financial Advisors to support client-facing activity
  • Provide backup support for non-licensed tasks as needed
  • Complete other duties as assigned

Position Qualifications

  • Strong verbal and written communication skills
  • Proficiency with Microsoft programs, including Word, Excel, SharePoint, and OneDrive
  • Ability to maintain confidentiality and handle sensitive information with integrity
  • Strong problem-solving and organizational skills
  • Ability to manage multiple priorities while maintaining accuracy and high-quality work
  • Previous administrative or office support experience preferred
