Mission Creek Senior Living, a well-established and trusted provider in the senior living space, and a proud member of Vista Senior Living Management, is looking for a full-time Administrative Assistant in Waukesha, Wisconsin.

Position: Administrative Assistant

As the Administrative Assistant at Mission Creek Senior Living, you are the first face residents, families, and visitors see when they walk through our doors, and a trusted extra set of hands for our nursing team. This is a blended role that splits the day between our front desk and our clinical floor, combining reception and resident care coordination into one full-time position.

The ideal candidate brings a warm, professional front desk presence together with hands-on clinical support experience – as a caregiver, medication passer, or in a previous role assisting a nursing team. If you enjoy variety in your day, take pride in accuracy and follow-through, and genuinely enjoy being around seniors, this role was built for you.

Schedule and Compensation:

  • Full-time, hourly – $20.00 per hour.
  • Weekdays: 12:00 PM – 8:00 PM, with clinical support responsibilities from 12:00 PM – 4:00 PM and reception responsibilities from 4:00 PM – 8:00 PM.
  • Every other weekend: 9:00 AM – 5:00 PM, covering reception responsiblities.

Reception Responsibilities:

  • Greet residents, families, visitors, and vendors warmly and professionally, and direct them appropriately.
  • Answer, screen, and route incoming phone calls, and take accurate messages.
  • Send, receive, and distribute faxes.
  • Enter, update, and retrieve information in PointClickCare (PCC).
  • Receive, sort, and deliver mail and packages to residents and departments.
  • Maintain a clean, welcoming, and well-organized front desk and lobby area.
  • Assist the Executive Director and department leaders with special projects as assigned.

Clinical Responsibilities:

  • Obtain and record monthly resident weights and vital signs, and report changes to the nursing team.
  • Complete medication cart audits and assist in maintaining accurate medication records.
  • Prepare, assemble, and process admission forms and new resident paperwork.
  • Complete and maintain clinical forms, charting, and documentation in accordance with community policy and state regulation.
  • Conduct routine floor rounds and communicate resident needs or concerns to the nursing team.
  • Assist on the floor as needed, supporting caregivers and the nursing team with resident care.
