Position Overview
Under the direction of the President & CEO of Standard Process, the Executive Administrative Assistant provides high-level administrative, organizational, and general support in a fast-paced manufacturing environment. This role serves as a trusted partner to the executive team, managing priorities, communications, scheduling, and confidential business matters while helping ensure smooth execution of executive and organizational initiatives. This role directly supports the President & CEO along with the Vice President of Business Strategy. The role indirectly supports all Vice Presidents where needed.
Essential Functions
  • Manage complex calendars, meetings, travel, appointments, and other priorities for the President & CEO and Vice President of Business Strategy.
  • Provide high-level administrative and organizational support to executive leadership while assisting Vice Presidents as needed.
  • Coordinate and prepare for executive meetings, leadership meetings, board-related activities, and strategic planning sessions.
  • Screen, prioritize, and manage incoming communications, requests, and correspondence with professionalism and discretion.
  • Prepare reports, presentations, agendas, meeting materials, executive summaries, and other business documents for executive leadership.
  • Provide comprehensive administrative and logistical support to the CEO, including coordination of select personal and business-related matters to ensure efficient management of priorities and schedules.
  • Serve as a key administrative resource for the CEO in supporting family business and shareholder meetings, including meeting planning, preparation of materials, stakeholder communications, record retention, and follow-up on action items.
  • Draft and edit professional correspondence, communications, announcements, and presentation materials on behalf of executive leadership.
  • Track action items, deadlines, and other initiatives to ensure timely completion of commitments and deliverables.
  • Serve as a key liaison between executive leadership and internal/external stakeholders, including board members, customers, suppliers, and employees.
  • Coordinate communication across executive leadership, operations, manufacturing sites, and corporate functions to ensure effective information flow.
  • Build and maintain strong working relationships across all levels of the organization while exercising sound judgment and confidentiality.
  • Assist in preparing materials and coordinating logistics for customer visits, leadership presentations, executive events, and company functions.
  • Arrange and coordinate domestic and international travel, including itineraries, accommodations, transportation, and expense reporting.
  • Maintain confidential files, contracts, executive records, and sensitive business information with a high degree of discretion and accuracy.
  • Support planning and logistics for board meetings, leadership offsites, company events, and other executive-level activities.
  • Conduct research, gather data, and compile information to support executive decision-making and organizational initiatives.
  • Assist with coordinating executive projects, cross-functional initiatives, and organizational priorities in a fast-paced manufacturing environment.
  • Manage the donations budget and coordinate donation requests, including tracking approvals, communications, and related documentation.
  • Independently manage office priorities and administrative responsibilities with minimal supervision while adapting to shifting business needs.
Qualifications
Education:
  • Bachelor's degree preferred
Experience:
  • 5-10+ years of executive administrative support experience, preferably supporting C-level executives
  • Experience in manufacturing, industrial, or privately held organizations strongly preferred
  • Experience managing executive schedules and appointments
  • Experience handling travel coordination
