ROLE OVERVIEW
Fashion Nova is on the hunt for a high-performing Executive Assistant! This role will provide comprehensive, high-level executive support primarily to our Chief Financial Officer (CFO).
Serving as the primary point of contact for both internal and external stakeholders, you will act as a strategic gatekeeper and trusted partner. The ideal candidate thrives in a fast-paced environment, possesses impeccable judgment, and can expertly manage highly sensitive and confidential information with absolute discretion.
KEY RESPONSIBILITIES
  • Gatekeeping & Liaison: Serve as the main resource and key liaison for the CFO; managing the flow of information entering and exiting their offices.
  • Calendar & Schedule Management: Expertly manage complex, rapidly shifting calendars, ensuring the executives' time is optimized and prioritized effectively.
  • Project Tracking: Work closely with the executives to monitor ongoing projects, follow up with direct reports on deadlines, and ensure the leadership team is consistently updated on project statuses.
  • Travel & Expense Management: Coordinate seamless domestic and international travel arrangements, itineraries, and lodging. Process executive expense reports and invoices regularly and accurately.
  • Communications & Correspondence: Draft, review, and manage high-level communications (emails, memos, and verbal messaging) for internal and external constituencies. Handle incoming mail and phone inquiries with a professional, polished demeanor.
  • Meeting Preparation: Prepare detailed meeting agendas, briefing notes, presentations, and corresponding materials for executive meetings, town halls, and events.
  • Cross-Functional Collaboration: Liaise with departments across Fashion Nova to expedite requests, troubleshoot operational problems, and navigate competing demands between teams with grace.
  • Adaptability: Work independently from conception to completion under tight deadlines, effortlessly adapting to changing priorities, delays, or unexpected events in a fast-moving retail/e-commerce landscape.

ROLE REQUIREMENTS
  • Experience: Minimum of 8++ years of dedicated executive support experience, preferably supporting C-Suite executives (CFO, CEO, or Founders) in a fast-paced fashion retail, entertainment, or digital company.
  • Education: Bachelor's degree or equivalent practical experience.
  • Communication: Highly effective written and verbal communication skills, with flawless grammar, punctuation, and professional tone.
  • Technical Proficiency: Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace. Ability to build clean presentations and manage basic data/spreadsheets for financial or operational review.
  • Discretion: Proven track record of handling highly confidential corporate, financial, and personal information with total integrity.
  • Organization: Exceptional organizational skills and an intuitive ability to prioritize tasks in real-time under pressure.
