Job description

HGS Bioscience is a fast-growing, agriculture-based manufacturing team headquartered in Jacksonville, FL. Our people are at the center of our success, and we are committed to building a supportive, growth-oriented workplace.

We are seeking an Order Entry Specialist, who will be responsible for entering sales orders through the company’s order-to-cash process within NetSuite. This role will handle incoming customer communications related to order entry, order status, and general account support while ensuring accuracy and timely processing of all orders. The position works closely with customers, operations, logistics, and internal departments to support efficient order fulfillment and customer satisfaction. This role reports directly to the Director of Customer Experience and Logistics.


Roles & Responsibilities

· Process and enter customer sales orders accurately in NetSuite.

· Review orders for completeness, pricing accuracy, product availability, and required documentation.

· Respond to incoming customer calls and email inquiries related to orders, shipping, and account support. Reply to customer orders within 15 minutes of receipt.

· Coordinate with internal departments including operations, logistics, production, and accounting to ensure timely order fulfillment.

· Communicate order status updates, delays, and shipment information to customers as needed.

· Maintain accurate customer records and order documentation within company systems. Includes updating freight costs and changes in loading dates.

· Support continuous improvement initiatives related to order processing and customer service workflows.

· Ensure compliance with company policies and established order management procedures.


Qualifications

· 4-year undergraduate degree or equivalent experience.

· Experience working within ERP systems, preferably NetSuite.

· Strong communication and interpersonal skills.

· Proficient in Microsoft Office applications including Excel, Teams, and Outlook.

· Ability to work effectively in a fast-paced environment and manage changing priorities.

· Strong attention to detail and organizational skills.

· Excellent problem-solving and decision-making abilities.


Preferred

· Experience in manufacturing, distribution, or industrial environments.

· Experience with Netsuite.

· Knowledge of order-to-cash processes and inventory management.

· Familiarity with CRM systems and customer account management.
