Position Summary
We are currently seeking a highly organized and detail-oriented Drayage & Order Processing Associate to join our growing organization in California. This position plays a critical role in overseeing the administrative and logistics functions related to processing high-volume account orders throughout Southern California.
The ideal candidate will support our Administration, Operations, Logistics, and accounting teams by managing order flow, coordinating transportation, maintaining accurate reporting, communicating urgent inventory needs, and resolving fulfillment issues to ensure timely and accurate deliveries.
This is an excellent opportunity for a motivated professional who thrives in a fast-paced, task-oriented environment and enjoys working collaboratively across departments.
Key Responsibilities
  • Oversee order flow including order entry, tracking, and delivery coordination for Depot account.
  • Schedule Inbound containers and close collaboration with Warehouse and Logistics Manager on planning, inventory, and warehouse receiving
  • Process high-volume customer orders accurately and efficiently
  • Maintain accuracy of pricing, vintages, quantities, sizing, and related product information across internal reports and systems
  • Prepare warehouse documentation for order picking and trailer loading
  • Schedule delivery appointments with customers and freight drivers
  • Coordinate and secure transportation through third-party logistics providers (3PLs)
  • Resolve issues that arise during the fulfillment process to ensure on-time delivery
  • Report damaged, short, or missing products in a timely manner
  • Review PODs (Proofs of Delivery) to verify products delivered against BOLs and original orders
  • Generate and issue invoices based on products received by customers
  • Communicate updates regarding pending, incomplete, or problem orders to internal teams
  • Collaborate cross-functionally to provide exceptional customer service support
  • Assist with additional projects and responsibilities as assigned by management

Requirements
Qualifications
  • Associate or bachelor's degree preferred (relevant experience may be considered in lieu of degree)
  • Exceptional organizational skills and strong attention to detail
  • Strong verbal and written communication skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Self-motivated with a positive attitude and strong team collaboration skills
  • Experience working in a high-volume, task-oriented environment
  • Proficiency in Microsoft Office Suite, especially Excel and Outlook
  • Preferred experience with NetSuite and Fintech systems
  • Logistics, transportation coordination, drayage, or supply chain experience is a plus
  • Wine & spirits industry experience preferred but not required
