Job description

Position Overview

Securify is hiring two Order Processors to manage the full order lifecycle for our physical security and network solutions projects, from purchase order creation through receiving and delivery to the job site. Working side by side as peers within the Orders department, you will handle high-volume order entry, procurement, tracking, receiving, and returns in D-Tools Cloud, while building strong working relationships with vendors, Project Managers, and internal departments including Accounting, IT, Service, and Installation.

This is not an entry-level position. We are looking for people who already understand how to create and manage purchase orders, coordinate with vendors, and track order status inside a business software system, whether that system is D-Tools Cloud itself or a comparable ERP, quoting, or order management platform. Direct D-Tools Cloud experience is a strong plus, but proficiency gained on another platform is welcome as long as it translates to daily, hands-on order-processing work.

As an Order Processor, you will help set the standard for accuracy and responsiveness in how Securify orders, tracks, and delivers materials for every project. Success in this role requires hands-on order processing and procurement experience, comfort learning D-Tools Cloud's purchase order workflow quickly, and the organizational skills to keep multiple concurrent orders moving smoothly across the office and warehouse.

Key Responsibilities

Order Processing & Procurement in D-Tools Cloud

  • Create and manage purchase orders in D-Tools Cloud, generating them directly from an approved project, from the Catalog for stock replenishment, or centrally through Procurement to consolidate items across multiple jobs.
  • Move purchase orders through their full lifecycle, from Draft to Ordered once a supplier confirms the order, to Partially Received and Received as shipments arrive, keeping the department’s Kanban and List views current and accurate.
  • Maintain supplier records in D-Tools Cloud settings, linking products to the correct vendor, dealer account number, and shipping and payment terms.
  • Publish purchase orders to the D-Tools Vendor Portal, monitor vendor acceptance, and track vendor reference numbers and confirmations directly from the portal. Source materials and equipment, follow up on pricing and lead times, and take advantage of Securify’s live vendor pricing integrations to keep costs accurate without manual catalog maintenance.
  • Track order status, resolve discrepancies, and proactively communicate delays or issues to Project Managers and other stakeholders.
  • Process change orders, returns, and RMAs accurately and promptly within D-Tools Cloud.

Receiving, Inventory & Distribution

  • Receive shipments against purchase orders, entering received quantities and using barcode or QR code scanning to check items into inventory and assign them to the correct warehouse or job site location.
  • Prioritize receiving by project or by stock, and help maintain real-time inventory accuracy from purchasing through staging, rack assembly, and delivery to the job site.
  • Oversee shipping, receiving, and distribution of equipment and materials between the warehouse, office, and job sites.
  • Maintain organized, accurate records of purchase orders, packing slips, invoices, and tracking numbers.

Cross-Department Collaboration

  • Partner closely with Project Managers to align order timelines with project schedules and job site needs.
  • Coordinate with Accounting on purchase orders, vendor invoices, and cost tracking, supported by D-Tools Cloud’s QuickBooks Online integration.
  • Work with IT, Service, and Installation departments to ensure materials and equipment are available when and where needed.
  • Communicate clearly and professionally with internal teams and external vendors to resolve issues quickly.

Process & Continuous Improvement

  • Identify and implement process improvements that increase efficiency and accuracy in order processing and procurement.
  • Maintain accurate documentation and workflows within D-Tools Cloud.
  • Perform other duties as assigned that support department and company goals.

Qualifications

Experience

  • At least two years of hands-on experience in order processing, procurement, purchasing, or supply chain, ideally including direct work creating and tracking purchase orders in a business software system.
  • Direct experience with D-Tools Cloud is a strong plus. Candidates with solid working knowledge of another ERP, order management, or quoting platform, such as NetSuite, QuickBooks, SAP, Ariba, or a comparable system integrator platform, are also encouraged to apply. We expect that experience to transfer to D-Tools Cloud with structured onboarding, not ground-up training.
  • This role is not suited for candidates with no prior order processing or procurement experience.
  • Experience managing a meaningful volume of orders, returns, and change orders in a fast-paced environment.

Technical & Systems

  • Comfort learning and working daily inside D-Tools Cloud or a similar cloud-based order management system.
  • Experience in security, low voltage, AV, IT, or other managed services or technical distribution environments is strongly preferred.
  • Proficient in Excel or spreadsheet tools for tracking and reporting.

Professional Skills

  • Excellent written and verbal communication skills, with the ability to build strong relationships with internal teams and external vendors.
  • Strong attention to detail and organizational skills.
  • Ability to manage multiple priorities, shifting deadlines, and competing demands.
  • Valid driver’s license and reliable transportation.
  • Clean background check required.

Preferred Experience

  • Direct, hands-on experience with D-Tools Cloud purchase orders, procurement, or inventory management.
  • Familiarity with vendor negotiation, procurement best practices, and inventory management.
  • Experience working closely with Project Managers, Accounting, IT, Service, and Installation departments in a coordinated, cross-functional environment.
  • Experience in a small business or MSP environment where teams wear multiple hats.

Work Location

  • This is an in-person position based at our Mountain View, California office and warehouse, and requires a daily commute. This role is not available for remote or hybrid work.
  • Reliable personal transportation is required to ensure punctual attendance.

Physical Requirements

  • Ability to lift and carry up to forty pounds as needed for materials and equipment.
  • Ability to stand, walk, and bend throughout the office and warehouse for extended periods.
  • Ability to use standard office equipment, computers, and warehouse handling tools as needed.
