About the Role

The Order Management Coordinator supports the end-to-end customer order lifecycle, from order entry and validation through shipment and delivery. This role serves as a key connection point between customers, Sales, Operations, Warehouse, Finance, and other internal teams to ensure orders are processed accurately, issues are resolved promptly, and customer requirements are met.

The Order Management Coordinator is responsible for maintaining accurate order information, coordinating fulfillment activities, monitoring order status, and proactively addressing issues that could impact timely delivery. This role requires strong attention to detail, organizational skills, customer service capabilities, and the ability to effectively manage multiple priorities in a fast-paced environment.

Responsibilities

  • Process and coordinate customer orders accurately and efficiently from order entry through fulfillment and delivery.
  • Validate orders for product, quantity, pricing, customer information, delivery requirements, and other relevant order details to ensure accuracy and compliance with company policies.
  • Maintain accurate order data and documentation throughout the order lifecycle using SAP and other applicable systems.
  • Serve as a primary point of contact for customer inquiries related to orders, providing timely updates on order status, changes, availability, and delivery schedules.
  • Partner closely with Sales to review customer requirements, communicate order changes, resolve issues, and ensure orders progress through fulfillment as expected.
  • Monitor inventory availability and coordinate with Operations and Warehouse teams to identify potential shortages, fulfillment constraints, or other issues that may impact customer orders.
  • Coordinate shipment schedules and required shipping documentation with Operations, Warehouse, carriers, and other relevant partners to support timely delivery.
  • Monitor orders throughout the fulfillment process and proactively identify and resolve exceptions, including delays, product shortages, order discrepancies, shipping errors, and other issues that may impact delivery.
  • Maintain accurate records of order changes, customer communications, shipment information, and issue resolution.
  • Partner cross-functionally with Sales, Finance, Operations, Warehouse, and other teams to ensure alignment across order fulfillment, invoicing, customer requirements, and delivery.
  • Prepare regular reports on order status, fulfillment activity, inventory availability, and other order management metrics.
  • Analyze order and fulfillment data to identify trends, recurring issues, process improvement opportunities, and potential cost savings.
  • Proactively identify opportunities to improve order accuracy, efficiency, customer experience, and overall order-to-delivery performance.

Qualifications

  • Associate degree in Business Administration, Supply Chain, Logistics, or a related field preferred; equivalent experience may be considered.
  • 2+ years of experience in order management, customer service, logistics, supply chain, or a related operational function.
  • Experience using SAP or another ERP system to process, maintain, and track customer orders.
  • Experience with order entry, order changes, order holds, delivery dates, order status, or similar order management activities.
  • Strong attention to detail and commitment to order accuracy.
  • Strong organizational and time-management skills, with the ability to manage multiple orders, priorities, and deadlines simultaneously.
  • Strong problem-solving skills, with the ability to investigate issues, identify root causes, and drive timely resolution.
  • Excellent communication and interpersonal skills, with the ability to work effectively with customers, internal stakeholders, and external partners.
  • Proficiency with Microsoft Office, particularly Excel.

Preferred Qualifications

  • Bachelor's degree in Business Administration, Supply Chain, Logistics, or a related field.
  • Experience supporting order-to-delivery processes within a manufacturing, equipment, or other physical-product environment.
  • Experience working cross-functionally with Sales, Operations, Warehouse, Finance, and Customer Service teams.
  • Experience with SAP order management processes in a manufacturing or distribution environment.

Pay Range: $25.00-$29.00 per hour

The pay range represents the low and high end of the anticipated pay range for this position based at our Woodinville, WA headquarters. The actual pay offered for this position will depend on numerous factors including individual performance, business objectives, and if the location for the job changes.
