Job description

Court Operations Associate

The Hennepin County District Court Criminal Division is seeking to fill a Court Operations Associate position to work in the Criminal Centralized Unit (CCU). This is a diverse, inclusive, and professional environment that promotes equity for all court staff and court customers. Court Operations Associates work individually and in teams using independent judgment along with available resources to perform a variety of administrative assignments. Court Operations Associates in the CCU perform advanced technical clerical work ensuring data integrity of all adult criminal cases, as well as interact with partnering justice agencies with the use of shared integrations. The work is primarily completed using multiple software applications, often simultaneously, to monitor and process electronic workflow queues.

The Criminal Centralized Unit supports all teams within the Criminal Division, handling administrative reports and tasks such as processing signed complaints, maintaining bonds, and reviewing data quality. This position is currently working primarily remote with occasional onsite work on a rotation with the team, depending on business needs.

Examples of Duties

  • Constant, timely review, correction, and completion of work using various electronic workflow queues and system-generated reports; could include the eCharging system, case management system, and other systems shared with external justice agencies
  • Monitor daily error reports and make appropriate corrections
  • Enter and process criminal complaints; complete pre and post dispositional case updating
  • Coordinate, communicate, and collaborate with team members to ensure daily work assignments and case processing are completed efficiently and accurately
  • Provide internal court staff and external justice agencies with excellent customer service, and maintain frequent contact with justice partners to ensure information in the integrated systems is consistent and accurate; resolve issues as identified
  • Perform daily financial functions including, but not limited to, processing all aspects of cash/surety bonds, reviewing various financial reports, and taking appropriate follow-up action as needed

Minimum Qualifications

  • High school diploma and one (1) year of relevant job experience OR equivalent amount of post-high school education and experience totaling one year
  • Examples of relevant job experience: customer service, administrative work, office, and clerical work

Minimum Knowledge, Skills, and Abilities

  • Ability to multi-task and work well under pressure in a high volume, fast paced work environment
  • Well organized, detail-oriented and analytical with the ability to use independent judgment
  • Team-oriented; ability to establish and maintain effective working relationships, and work respectfully with people from diverse backgrounds
  • Ability to communicate effectively and respectfully, both verbally and in writing
  • Ability to adapt and be flexible to changes with workload, job assignments, new procedures, and laws
  • Demonstrated ability to learn, retain, and apply new information; understand and follow oral and written instructions
  • Proficient working in multiple software interfaces, including Microsoft Office suite, with the ability to learn other job-related software

Preferred Knowledge, Skills, and Abilities

  • High level of proficiency in case processing
  • Knowledge and experience working with integrations from various systems
  • Knowledge and experience working with cash and surety bonds, or other case-related financial transactions
  • Knowledge of appropriate procedures for processing a variety of legal documents
  • Ability to maintain a variety of complex records and prepare reports from such records

Supplemental Information

Logistics

The Criminal Centralized Unit works primarily remote. The onsite office location for this team is at the Government Center downtown Minneapolis at 300 South 6th Street. The standard hours for this position are 8:30 am - 5:00 pm, Monday – Friday, but may vary depending on the assignment and operational needs within the Criminal Centralized Unit. For example, a Court Operations Associate may be required to provide backup coverage for other team members who report to work between 5:00/5:30 am. and 8:30 am. In such instances, the workday hours are adjusted as needed.

Salary Range

The expected starting salary for external candidates is at least $23.50 per hour and may be higher, depending on qualifications. This position is non-exempt under the Fair Labor Standards Act and is eligible for State of Minnesota employee benefits.
