The Operations Associate plays a critical role in delivering a seamless client experience by supporting both investment and insurance operations. This position is responsible for managing client accounts, processing financial transactions, and overseeing insurance applications while ensuring accuracy, compliance, and operational efficiency. Acting as a key liaison between advisors, clients, and home office partners, this individual helps drive workflow improvements and supports the full lifecycle of client service and account management.


Responsibilities include, but are not limited to:

  • Investment & Advisory Operations
    • Prepare and process paperwork for investment and advisory accounts, including new account setup, rollovers, and asset transfers
    • Monitor account funding, transfers, and transactions to ensure timely completion and accuracy
    • Execute retirement account rollovers and process client contributions, withdrawals, and redemptions
    • Maintain and update CRM systems with detailed client records, notes, and task tracking
    • Generate investment performance reports using tools such as Envestnet, Morningstar, and NMCIR
    • Assist with proposal updates, account reviews, and ongoing portfolio maintenance
    • Respond to home office inquiries and ensure compliance with operational and regulatory requirements
  • Insurance Operations & Underwriting Support
    • Manage the full lifecycle of insurance applications, from submission through underwriting and policy delivery
    • Review insurance applications, conversions, and policy changes for completeness and accuracy
    • Coordinate underwriting requirements, including medical and paramedical exams
    • Process non-securities insurance transactions such as policy changes, additional purchase benefits (APBs), and term conversions
    • Monitor case status and proactively follow up on outstanding requirements to ensure timely processing
    • Prepare insurance summaries, illustrations, and case materials for client meetings and reviews
  • Client Service & Relationship Management
    • Serve as a primary point of contact for client service needs across investment and insurance products
    • Respond to client inquiries related to account balances, policy details, and service requests
    • Process client requests including address updates, payment changes, loan requests, and policy servicing
    • Communicate proactively with clients regarding account status, funding issues, or underwriting requirements
    • Support advisors by preparing client meeting materials, agendas, and review documentation


Qualifications:

  • Life, Accident, and Health Insurance License (or must obtain within first 90 days of employment)
  • FINRA Series 6 & 63 (or ability to obtain)
  • Experience in financial services, wealth management, or insurance operations required
  • Strong administrative, organizational, and multitasking abilities in a fast-paced environment
  • Excellent attention to detail with a high degree of accuracy
  • Effective communication and client service skills
  • Ability to work independently and collaboratively across teams
  • Proficiency with Microsoft Office and CRM systems
