Operations Administrator

Robert Half’s client, a financial services organization, is seeking an Operations Administrator to support agent onboarding, licensing, and contracting processes in San Diego, California. This opportunity is ideal for a detail-oriented professional who enjoys managing documentation, coordinating timelines, and ensuring a seamless experience within a regulated, service-driven environment. The successful candidate will demonstrate strong administrative judgment, clear communication, and the ability to manage multiple cases accurately and efficiently from intake through completion.


Responsibilities:

  • Review licensing, onboarding, and contracting submissions for completeness and accuracy before submitting materials to external partners and carriers.
  • Maintain accurate agent and case records by updating Salesforce and other internal systems with timely, precise information.
  • Proactively follow up on missing documentation, credentials, forms, and appointment details to minimize processing delays.
  • Manage cases from initial intake through completion, ensuring all required steps and documentation are thoroughly tracked.
  • Navigate external portals and follow varying submission requirements and procedures to ensure accurate and compliant processing.
  • Monitor deadlines, turnaround times, and service-level expectations to keep cases progressing efficiently.
  • Collaborate with internal teams and cross-functional partners to improve workflows and enhance the onboarding and contracting process.
  • Provide responsive, high-quality internal and external support while managing a high volume of administrative requests and case activity.


Qualifications:

  • 2+ years of administrative, operations, client service, or coordination experience, preferably within financial services, insurance, banking, or another regulated industry.
  • Strong attention to detail and ability to manage confidential documentation with discretion.
  • Excellent organizational and follow-up skills with the ability to prioritize multiple deadlines.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office; experience with Salesforce or similar CRM systems strongly preferred.
  • Ability to learn and navigate multiple systems, portals, and processes quickly.
  • Comfortable working in a fast-paced, high-volume environment while maintaining accuracy and service quality.
