Project Administrator – Your Job Duties

As a Project Administrator, you will support 2-3 Project Managers from the beginning of a construction project through final closeout. You will own the project coordination that keeps contracts, billing, payments and project documentation moving.

You will:

  • Set up new construction projects and project documentation
  • Issue and track subcontracts, signatures and subcontractor insurance
  • Prepare, process and track subcontract change orders
  • Collect and review monthly subcontractor invoices
  • Run project cost reports and prepare monthly owner billing packages
  • Track preliminary notices, subcontractor releases and required payment documentation
  • Process subcontractor payments after project funding is received
  • Coordinate jobsite logistics, including storage containers, trailers and temporary facilities
  • Attend project staff meetings and OAC meetings as needed
  • Maintain accurate project files, contracts, billing documentation and correspondence
  • Support project closeout and archive final project documentation
  • Use Sage 300 and Procore to manage contracts, change orders, cost reporting, billing and project documentation
  • Track outstanding items and follow through to keep project administration moving

You might have:

  • Prior experience working in construction for either a general contractor or subcontractor
  • Prior experience providing construction project administration, project coordination, office management or similar
  • Prior experience with SAGE 300 (formerly Timberline)
