Office Manager - Columbia City Campus

La Escuelita is a family-owned and operated Spanish-English Dual Language Educational Program with more than 46 years of experience serving children from birth to age six through our acclaimed La Escuelita Bilingual Curriculum.

At La Escuelita, we believe language, culture, and community are at the heart of early childhood education. We are committed to creating welcoming, inclusive environments where children, families, and educators thrive. We are currently seeking an exceptional Office Manager to join our Columbia City leadership team.

This position is ideal for someone who is highly organized, self-motivated, detail-oriented, and passionate about serving children and families. The Office Manager plays a critical role in ensuring the smooth daily operation of the campus while supporting compliance requirements, family engagement, enrollment processes, and administrative functions.

As one of the first people families encounter, the Office Manager serves as an ambassador of La Escuelita's mission, values, and commitment to bilingual education.

Position Summary

The Office Manager is responsible for maintaining an efficient, organized, and welcoming office environment that supports children, families, staff, licensing requirements, and program operations. This position works closely with campus leadership to ensure compliance with state regulations, maintain accurate records, support enrollment and family engagement efforts, and facilitate communication throughout the school community.

Essential Responsibilities

  • Office Operations & Customer Service
  • Welcome families, children, visitors, and community partners in a warm, professional, and culturally responsive manner.

  • Answer phone calls, emails, and inquiries promptly and professionally.

  • Maintain a clean, organized, and welcoming front office environment.

  • Manage office supplies, inventory, and administrative systems.

  • Support daily campus operations and assist with problem-solving as issues arise.

Administrative & Compliance Support

  • Maintain accurate student, family, and employee records.

  • Ensure licensing, business, and regulatory documentation remain current and organized.

  • Support monitoring visits, audits, and compliance reviews.

  • Process and organize enrollment paperwork, attendance records, incident reports, and required documentation.

  • Assist with payroll, staffing, and human resources documentation as assigned.

  • Maintain confidentiality of student, family, and personnel information.

Family Engagement & Communication

  • Serve as a primary point of contact for families.

  • Facilitate communication between families, teachers, and administration.

  • Ensure timely distribution of school communications, announcements, and updates.

  • Support family engagement initiatives, events, and community-building activities.

  • Provide exceptional customer service while fostering positive relationships with families.

Enrollment & New Family Onboarding

  • Conduct tours for prospective families.

  • Explain program offerings, policies, tuition, and enrollment procedures.

  • Guide new families through the enrollment and onboarding process.

  • Support enrollment, waitlist management, and student records systems.

  • Help create a positive and welcoming transition for newly enrolled children and families.

Translation & Language Support

  • Translate written communications between English and Spanish.

  • Provide interpretation support during meetings, conferences, and family interactions as needed.

  • Serve as a language bridge for our bilingual community.

Event & Program Support

  • Assist in planning and coordinating school events, family engagement activities, conferences, trainings, and special programs.

  • Support event logistics, communication, registration, and preparation.

  • Collaborate with teachers and leadership teams to ensure successful implementation of events and initiatives.

Qualifications

Required

  • Fluency in both English and Spanish (written and verbal).

  • Minimum of two years of administrative, office management, customer service, or related experience.

  • Strong organizational and time management skills.

  • Excellent written and verbal communication skills.

  • Ability to manage multiple priorities in a fast-paced environment.

  • Strong attention to detail and accuracy.

  • Professional, dependable, and solution-oriented mindset.

  • Proficiency with Microsoft Office, Google Workspace, and office technology.

  • Ability to maintain confidentiality and exercise sound judgment.

Preferred

  • Experience working in an early learning, educational, nonprofit, or family services setting.

  • Experience with enrollment management, licensing compliance, HR support, or family engagement.

  • Familiarity with Brightwheel, MERIT, ECEAP, Working Connections Child Care, or other early childhood systems.

  • Experience coordinating events and community outreach initiatives.

Education Requirements

One of the following is preferred:

  • Child Development Associate (CDA) Credential

  • Associate's or Bachelor's Degree in Early Childhood Education

  • Degree in Business Administration, Human Resources, Communications, or a related field

  • Equivalent combination of education and relevant experience

Candidates without an ECE credential who demonstrate strong qualifications will be supported in pursuing required coursework.
