About the Role:

We are seeking an organized, proactive Office Manager / Administrative Assistant to support the Operations Director and manage daily branch operations for a fast-paced office. This role handles high-level administrative support, workflow coordination, vendor management, and basic accounting tasks.

Candidates with a background in Title, Escrow, Real Estate, or Legal are preferred, but candidates with strong corporate office management experience will also be fully considered.

Key Responsibilities:

  • Operations & Office Management: Oversee daily office facilities, manage vendors, order supplies, and support process improvements.
  • Executive & Administrative Support: Manage calendars, schedule meetings, coordinate travel, prepare reports, and serve as the main point of contact for visitors and partners.
  • Transaction & Operations Coordination: Support file intake, order entry, document distribution, pipeline tracking, and client communication.
  • Finance & Accounting Support: Process basic AP/AR transactions, review invoices, assist with expense reconciliation, and support timekeeping.
  • Team & Compliance Support: Assist with onboarding administrative staff, tracking licenses/compliance records, and maintaining strict data confidentiality.

Qualifications:

  • 5+ years of experience in office management, executive administration, or operations (Title, Escrow, Real Estate, Mortgage, or Law Firm experience is a plus).
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
  • Familiarity with basic accounting/bookkeeping software (e.g., QuickBooks) and the ability to learn proprietary software quickly.
  • Strong multitasking, organizational, and communication skills in a fast-paced environment.
  • High School Diploma required; Associate or Bachelorโ€™s degree preferred.
