Job description

We are looking for a dependable Office Assistant to support daily operations at a secure testing site in Eugene, Oregon. This is a Part-Time, Short-Term Contract position suited for someone who is organized, detail-oriented, and comfortable assisting visitors in a structured, rules-driven environment. The person in this role will help create a smooth and secure testing experience by handling front-desk tasks, monitoring exam sessions, and responding quickly to issues as they arise.


Responsibilities:

• Welcome test takers, confirm their identity, and guide them through check-in procedures with care and attention to detail.

• Carry out security screening steps, including the use of handheld screening tools, to uphold testing standards.

• Observe exam activity through routine room checks and continuous monitoring to help protect the integrity of the testing environment.

• Address candidate concerns promptly, resolve routine issues when possible, and escalate unusual situations according to policy.

• Support basic troubleshooting for testing equipment and candidate devices to minimize disruptions during exam sessions.

• Maintain control of secure materials, testing rooms, and related records to ensure compliance at all times.

• Complete administrative tasks such as document scanning, clerical support, and accurate incident reporting as needed.

• Assist with general site upkeep during slower periods, including preparing materials, organizing work areas, and helping with equipment handling or shipment tasks when required.

• If required at the location, capture and log digital fingerprint records as part of the candidate verification process.

• High school diploma or equivalent is required; additional college coursework is a plus.
• At least one year of in-person customer service experience in settings such as retail, hospitality, food service, or a similar public-facing environment is required.
• Must meet the minimum age requirement for the position.
• Ability to remain calm and effective in a fast-paced, high-volume setting with frequent interaction and strict procedures.
• Strong verbal and written communication skills, including the ability to prepare clear and accurate reports.
• Comfortable using Microsoft Windows-based systems and common office applications such as Microsoft Office, Outlook, and web browsers.
• Able to stand or remain stationary for extended periods, move throughout the testing area regularly, and lift up to 40 pounds when needed.
• Capable of bending, stooping, working in tight spaces around office or lab equipment, and viewing computer screens or camera monitors for extended monitoring.
