Office Assistant โ€“ Portland, Oregon

Location: Portland, Oregon

Employment Type: Full-Time | Hourly, Non-Exempt | In-Person

Compensation: $25.00 per hour


Pacific Cascade Legal is seeking a proactive, organized, and dependable Office Assistant to join our Portland office. This role will primarily support the business and administrative operations of the firm, while also assisting our legal teams with various administrative and legal support tasks as needed.


This position will work from our Portland reception area and will play an important role in keeping the day-to-day operations of the office running smoothly. Weโ€™re looking for someone who enjoys variety, takes initiative, stays organized, and is comfortable jumping in wherever support is needed.


This is a full-time, in-person position and is not eligible for remote work.


This is a great opportunity for someone with strong organizational and time-management skills who is interested in gaining experience in both the business operations and legal sides of a growing law firm.


Key Responsibilities

  • Assist with day-to-day business and administrative operations of the firm
  • Provide general administrative support to firm leadership, HR, and other departments as needed
  • Work from the Portland reception desk and serve as a welcoming point of contact for clients, visitors, vendors, and team members
  • Greet clients and visitors and assist with client check-in
  • Provide overflow phone coverage as needed
  • Assist with filing, scanning, copying, mailing, and processing documents
  • Maintain and organize electronic and physical records, paperwork, and files
  • Assist legal teams with administrative and case-related tasks as assigned
  • Receive, sort, and distribute incoming mail, packages, and deliveries
  • Assist with outgoing mail, shipping, and other correspondence
  • Monitor office supplies and assist with ordering and maintaining inventory
  • Help maintain organized and professional shared office and reception areas
  • Assist with occasional office errands and special projects
  • Enter and update information accurately in firm systems and databases
  • Handle confidential and sensitive client, employee, and firm information with discretion
  • Collaborate with team members across departments to help meet deadlines and keep projects moving
  • Provide additional administrative and operational support as needed


Qualifications

  • High school diploma or equivalent required; some college preferred
  • Previous administrative, office, reception, or customer service experience preferred
  • Previous experience in a law firm or professional services environment is a plus, but not required
  • Strong verbal and written communication skills
  • Proficiency with Microsoft Office and comfort learning new technology and software
  • Strong organizational skills and attention to detail
  • Ability to effectively prioritize and manage multiple tasks
  • Dependable, professional, and comfortable working in a fast-paced environment
  • Ability to take initiative and work both independently and collaboratively
  • Comfortable interacting professionally with clients, attorneys, staff, vendors, and other visitors

Schedule & Work Location

This is a full-time, in-person position based in our Portland office. The Office Assistant will work primarily from the reception desk and must be available to work onsite during their regularly scheduled hours.


This position is not eligible for remote or work-from-home arrangements.
