Creative Safety Supply is a U.S.-based manufacturer and supplier of workplace safety and visual communication solutions. The company helps businesses create safer, more organized, and more efficient facilities through products like industrial label printers, floor marking systems, safety signage, and 5S/Lean tools. Organizations across manufacturing, logistics, and other industries rely on these tools to improve communication, reduce hazards, and maintain compliance standards. 


About the Role

We're seeking an organized, proactive Office Manager to help keep our headquarters running smoothly while creating an exceptional experience for employees, visitors, and guests.


This role serves as the central coordinator for office operations, facilities, workplace services, vendor management, employee engagement, travel coordination, company events, and administrative support. You'll play an important role in maintaining the positive, collaborative culture that makes Creative Safety Supply a great place to work.


The ideal candidate is a self-starter who takes ownership, thinks critically, and enjoys solving problems. You're the type of person who notices when something needs attention, anticipates needs before they become issues, and looks for ways to improve processes and create a better experience for others.


This position also provides exposure to Human Resources, employee engagement, onboarding, recruiting support, and workplace operations, making it an excellent opportunity for someone interested in expanding their business and HR knowledge over time.


What You’ll Do:


Office Operations & Facilities

  • Oversee the day-to-day operations and professional appearance of our Beaverton office
  • Coordinate building maintenance, repairs, cleaning services, and facility-related needs
  • Ensure conference rooms, break rooms, common areas, storage areas, and reception spaces remain organized and fully functional
  • Manage office supply inventory and purchasing
  • Coordinate maintenance and service of office equipment and workplace systems
  • Identify opportunities to improve office processes, efficiency, and workplace organization


Employee Experience & Workplace Culture

  • Help create a positive, welcoming, and engaging environment for employees and visitors
  • Coordinate employee celebrations, birthdays, work anniversaries, holiday events, team activities, and recognition programs
  • Partner with HR and leadership to support employee engagement initiatives and workplace programs
  • Assist with internal events and activities that strengthen company culture and employee connection
  • Help foster a workplace where employees feel supported, valued, and excited to come to work


Kitchen, Pantry & Workplace Amenities

  • Manage employee snack, beverage, coffee, and workplace amenity programs
  • Maintain stocked and organized pantry, kitchen, and breakroom areas
  • Coordinate vendor relationships, ordering, deliveries, and budget tracking
  • Manage approximately $40,000 annually in pantry and beverage expenditures
  • Coordinate maintenance and supply needs for coffee equipment, refrigerators, water systems, and related amenities
  • Evaluate usage trends and identify opportunities to improve service and cost efficiency


Vendor Management

  • Serve as the primary contact for office vendors, contractors, service providers, and supply partners
  • Coordinate vendor visits, deliveries, installations, and service appointments
  • Obtain quotes, compare options, and maintain strong vendor relationships
  • Support purchasing activities and expense tracking


Travel, Meetings & Events

  • Coordinate travel arrangements for employees and leadership, including flights, hotels, transportation, and itineraries
  • Assist with planning meetings, trainings, candidate visits, customer visits, and vendor visits
  • Organize company events, celebrations, team gatherings, and holiday activities
  • Coordinate event logistics including catering, communications, scheduling, and follow-up activities


Administrative & HR Support

  • Provide administrative support to company leadership as needed
  • Assist with scheduling, travel logistics, meeting coordination, and special projects
  • Support onboarding logistics, workspace setup, and new hire coordination
  • Partner with HR on employee engagement activities, recruiting support, onboarding support, and workplace initiatives
  • Support company-wide projects and cross-functional initiatives as assigned


Visitor Services

  • Greet visitors, candidates, vendors, and guests
  • Answer and route incoming telephone calls
  • Manage mail, packages, deliveries, and outgoing shipments
  • Maintain a professional and welcoming reception area


What We're Looking For:


Required Qualifications

  • 3+ years of experience in office management, office administration, executive support, operations coordination, or a similar role
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • Strong critical thinking and problem-solving abilities
  • Proven ability to take initiative and work independently
  • Ability to prioritize competing demands and adapt in a fast-paced environment
  • Experience coordinating vendors, schedules, services, and recurring administrative processes
  • Proficiency with Microsoft Outlook, Word, Excel, and other business software
  • Professional judgment and discretion when handling confidential information
  • Reliable on-site attendance


Preferred Qualifications

  • Previous Office Manager experience
  • Experience supporting executives, owners, or senior leadership
  • Experience with facilities coordination, travel management, event planning, or workplace operations
  • Experience supporting HR, Finance, or Operations functions
