Media Associate
Role Objective
The Media Associate is the central operational hub responsible for the day-to-day execution of media programs. This role serves as the functional bridge between external media agencies and internal brand teams, ensuring that all campaigns are launched on time, creative is delivered to spec, and financial tracking is managed with 100% accuracy within internal systems.
Key Responsibilities
1. Agency & Brand Coordination
  • Act as the primary point of contact for the media agency to gather campaign requirements to ensure smooth campaign execution.
  • Maintain the master campaign calendars for dedicated brands within pod; track project milestones to ensure agency execution is hitting the internal deadlines required for pulse campaign launches and promotional windows.

2. Creative Trafficking & Asset Management
  • Own the building and delivery of creative workbooks to ensure alignment with brand, online and retail teams to ensure smooth asset delivery process
  • Manage the end-to-end trafficking process-from receiving final files to verifying they meet platform requirements (e.g., TikTok vs. Instagram) and confirming they are live and performing correctly on the agency side.

3. Financial Tracking & Internal Systems
  • Input and manage media authorizations within internal financial systems; ensure that all agency spend aligns with approved brand budgets.
  • Own internal financial system entries to reconcile monthly agency billing, resolving discrepancies between planned spend and actualized invoices across the brand portfolio.

4. Execution Support & Reporting
  • Collect and organize weekly performance files from the agency, ensuring internal stakeholders have access to the most recent performance data
  • Maintain clean and organized internal folders and databases for all media briefs, final assets, and historical performance reports.

Qualifications
  • 1-2 years of professional experience (or high-level internships) in an environment that requires rigorous project management, such as a media agency, marketing department, or production house.
  • Proven ability to manage complex workstreams between external vendors and internal departments; adept at communicating technical requirements to creative partners and financial updates to brand leads.
  • High proficiency in Excel (for financial tracking) and comfort learning internal ERP or procurement software (e.g., SAP, Ariba, or similar budget management tools).
  • Exceptional organizational skills with a keen eye for details, deadlines, and budget entry.
  • Ability to pivot quickly when brand priorities change, ensuring the agency is updated in real-time to prevent wasted spend or incorrect creative placement.

Pay Range:
The anticipated base salary range for this position is $66,300.00 to $93,250.00. Exact salary depends on several factors such as experience, skills, education, and budget. Salary range may vary based on geographic location. In addition to base salary, this position is eligible for participation in a highly competitive bonus program with the possibility for overachievement based on performance and company results.
