Job responsibilities and tasks
We are seeking a highly organized and detail-oriented Maintenance Planner to support maintenance and reliability activities at our paper mill. The Maintenance Planner is responsible for planning, scheduling, and coordinating maintenance work to maximize equipment reliability, safety, and operational efficiency. This position will leverage IBM Maximo to develop job plans, manage work orders, maintain equipment records, and optimize maintenance resource utilization across the mill.
The ideal candidate will have experience in an industrial manufacturing environment, preferably within the pulp and paper industry, and possess a strong understanding of maintenance planning best practices, preventive maintenance programs, and reliability-centered maintenance principles.
Key Responsibilities:
  • Maintenance Planning & Scheduling
  • Review, prioritize, and plan maintenance work orders generated through Maximo.
  • Develop detailed job plans including labor requirements, estimated durations, tools, permits, and materials.
  • Coordinate weekly and daily maintenance schedules with operations, maintenance supervisors, and contractors.
  • Ensure all planned work packages contain necessary documentation, procedures, drawings, and safety requirements.
  • Maintain and improve planning and scheduling compliance metrics.
  • Maximo Administration & Work Management
  • Utilize IBM Maximo for work order management, planning, scheduling, and reporting.
  • Create and maintain equipment hierarchies, PM tasks, job plans, and asset records.
  • Review work order history and failure codes to identify recurring equipment issues.
  • Monitor backlog health and ensure work orders are properly prioritized and executed.
  • Support continuous improvement of Maximo data quality and maintenance workflows.
  • Materials & Resource Coordination
  • Coordinate with storeroom personnel to ensure required parts and materials are available before scheduled work.
  • Identify long-lead and critical spare parts requirements.
  • Work closely with procurement teams on maintenance-related purchasing needs.
  • Optimize labor utilization across maintenance crafts.
  • Reliability & Continuous Improvement
  • Support preventive and predictive maintenance programs.
  • Participate in root cause analysis and failure investigations.
  • Track and report key maintenance KPIs including:
    • Schedule Compliance
    • PM Compliance
    • Backlog Management
    • Mean Time Between Failures (MTBF)
    • Equipment Availability
    • Maintenance Cost Performance
  • Recommend improvements to maintenance strategies and asset reliability.
  • Safety & Compliance
  • Ensure all planned work complies with safety standards, lockout/tagout procedures, environmental requirements, and mill policies.
  • Support contractor safety and maintenance permitting processes.
  • Promote a culture of safety, reliability, and continuous improvement.

Required Qualifications
  • Minimum 3 years of maintenance planning, maintenance supervision, reliability, or industrial maintenance experience.
  • Experience using a CMMS.
  • Strong understanding of maintenance planning and scheduling principles.
  • Ability to read and interpret technical drawings, P&IDs, equipment manuals, and maintenance procedures.
  • Proficiency in Microsoft Office Suite, particularly Excel.

Preferred Qualifications
  • Experience in pulp, paper, tissue, packaging, or other heavy manufacturing industries.
  • Knowledge of predictive maintenance technologies including vibration analysis, thermography, ultrasound, and motor diagnostics.
  • Experience with outage planning and execution.
  • Familiarity with SAP, Power BI, or maintenance KPI dashboarding.
