Job Summary

The Assistant Director of Facilities Management serves as the primary operational liaison between the campus community and Facilities Management. This position provides leadership and oversight of daily facilities operations and assumes departmental leadership responsibilities in the absence of the Director.

The role requires independent decision-making and the ability to manage ongoing maintenance operations and facilities-related projects, including Major Repair and Renovation (MRR) initiatives.

Duties and Responsibilities

• Plans, manages, and oversees daily functions, operations, and activities related to the maintenance and operation of the University's physical resources, including buildings, facilities, grounds, equipment, building and exterior cleaning, grounds upkeep, shipping and receiving, mail services, and storage.
• Manages the Computerized Maintenance Management System (CMMS), ensuring timely response, prioritization, tracking, and completion of work orders.
• Oversees the maintenance, reliability, and operational performance of campus systems and infrastructure.
• Manages and delivers maintenance-related projects, including Major Repair and Renovation (MRR) projects.
• Represents Facilities Management in capital project planning and execution, ensuring projects meet institutional standards, operational requirements, and long-term maintainability goals.
• Develops scopes of work, cost estimates, and coordinates procurement activities in accordance with established policies and procedures.
• Manages contractors and vendors, monitoring performance, schedules, budgets, and compliance requirements.
• Conducts site inspections and ensures proper project execution, documentation, and closeout.
• Manages service contracts, warranties, and vendor agreements related to facilities operations and equipment management.
• Leads workforce management activities, including hiring, onboarding, training, performance management, staff development, and maintaining appropriate staffing levels to meet operational demands.
• Serves as the primary liaison between campus departments and Facilities Management.
• Supervises staff, assigns work, and ensures quality, productivity, and accountability.
• Oversees the operation and maintenance of building systems, including mechanical, electrical, fire/life safety, plumbing, and waste management systems.
• Oversees maintenance activities for complex equipment necessary to maintain continuity of services, including the development of preventive maintenance schedules.
• Coordinates final acceptance of construction projects by working with contractors to complete punch lists, ensure proper closeout documentation, and transition projects from construction to occupancy.
• Manages acceptance of project manuals and establishes maintenance and replacement schedules as appropriate.
• Provides after-hours on-call institutional support as needed during emergencies, including unscheduled hours, holidays, and weekends.
• Assists with University System of Georgia (USG) required reporting and data collection.
• Performs all other duties as assigned.

Minimum Qualifications

• Bachelor's degree in a related field or an equivalent combination of education, training, and experience.
• At least five years of supervisory experience.
• At least five years of experience in facilities operations, maintenance, or project management.
• Ability to read and interpret plans, specifications, and technical documents.
• Strong communication, leadership, and organizational skills.
• Experience with Computerized Maintenance Management System (CMMS) software.
• Ability to conduct job-site inspections and ensure compliance with applicable requirements.
• Ability to coordinate daily activities, including work scheduling, quality assurance, program validation, maintenance operations, and supervision of personnel.
• Demonstrated experience managing subcontractors, vendors, and project activities while ensuring compliance with internal and external requirements.
• Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint, as well as other facilities management technologies.
• Working knowledge of at least one building trade, preferably mechanical, electrical, or plumbing (MEP) systems.
• Ability to follow written and verbal instructions and communicate those instructions effectively to others.

Physical Requirements

• Ability to remain seated or standing for extended periods while performing administrative, supervisory, inspection, and project management duties.
• Ability to walk throughout campus facilities, mechanical spaces, construction areas, and outdoor locations.
• Ability to occasionally lift, carry, push, or move materials and equipment weighing up to 25 pounds.
• Ability to use computers, mobile devices, and standard office equipment for extended periods.
• Ability to communicate effectively in person, by telephone, and through electronic communication.

Working Conditions

Work is performed in an office environment as well as throughout campus facilities, including buildings, mechanical spaces, construction areas, and outdoor locations. The position may require occasional work outside of normal business hours, including evenings, weekends, holidays, and emergency response situations.
