What is a mailroom associate?

Mailroom Associates are professionals responsible for handling incoming and outgoing mail and packages within an organization. They sort, distribute, and process mail, ensure timely delivery to different departments, and may also operate mailroom equipment such as postage meters and scanners. In addition to these tasks, Mailroom Associates often maintain records of shipments, track deliveries, and assist with administrative duties related to mail services. Their role is essential for efficient communication and document flow within a company.

What are the key skills and qualifications needed to thrive as a mailroom associate, and why are they important?

To thrive as a Mailroom Associate, you need strong organizational skills, attention to detail, and basic computer literacy, often supported by a high school diploma or equivalent. Familiarity with mail sorting equipment, postage meters, and package tracking software is typically required. Reliability, time management, and effective communication are essential soft skills for success in this role. These abilities ensure accurate and timely distribution of mail and packages, supporting smooth business operations.

What are some common challenges mailroom associates face and how can they be managed?

Mailroom Associates often manage high volumes of incoming and outgoing mail, which can be challenging during peak periods or when handling time-sensitive materials. Staying organized and adhering to efficient sorting and tracking processes can help manage workload and prevent errors. Additionally, adapting to evolving technology, such as mailroom automation systems, is increasingly important. Proactive communication with team members and other departments also helps ensure timely and accurate mail distribution.

Camelot Facility Solutions is seeking a Mailroom Associate to support a premier corporate client located in Bee Cave, Texas.

If you enjoy staying active, helping people, keeping things organized, and working in a professional team environment, this could be a great fit. You’ll support daily mailroom, shipping, receiving, package delivery, office services, and workplace support while providing exceptional customer service.

What’s In It For You?

  • Competitive pay
  • Work in a professional, polished corporate environment
  • Join a collaborative, service-focused team
  • Enjoy a role with variety, movement, and daily interaction — not a desk-only position
  • Build valuable experience in shipping, workplace services, facilities support, and corporate operations
  • Develop hands-on experience with FedEx Ship Manager, USPS, international shipping, and business services
  • Be part of a team where reliability, initiative, and great customer service are noticed and valued
  • Gain exposure to multiple departments and employees across the organization
  • Join an established facilities and workplace-services company supporting major corporate clients

What You’ll Do

  • Receive, log, sort, and deliver incoming mail and packages
  • Prepare outgoing shipments using FedEx Ship Manager and USPS
  • Track shipments and provide timely updates to employees
  • Assist with international FedEx shipments, invoices, and customs issues
  • Coordinate internal deliveries, interoffice mail, marketing materials, and conference materials
  • Maintain mailroom and postage equipment
  • Keep mailrooms and copy areas organized and fully stocked
  • Monitor office-supply inventory and request replenishment when needed
  • Assist with desk cleanouts, employee moves, and new-hire workstation setup
  • Communicate professionally with employees by email, phone, and in person
  • Partner with Business Services team members to complete daily requests
  • Support building security, life-safety, and evacuation procedures

What We’re Looking For

  • 1–2+ years of mailroom, shipping/receiving, workplace services, facilities, or related experience
  • FedEx Ship Manager experience required
  • Experience operating mailroom or postage equipment
  • Excellent customer-service and communication skills
  • Strong organization and attention to detail
  • Ability to manage multiple priorities and meet deadlines
  • Proficiency with Microsoft Outlook, Word, and Excel
  • Ability to work independently and collaboratively
  • Ability to remain active throughout the workday
  • Ability to safely lift up to 75 lbs., individually or with team assistance

Preferred

  • College degree or additional education
  • Corporate office or workplace-services experience
  • International shipping or customs experience
