Temporary Administrative Assistant
Position Description
The State University of New York College of Optometry is seeking a highly organized and service-oriented Administrative Assistant to support the day-to-day operations and project needs of the Office of Institutional Advancement and the Office of the President. This temporary appointment plays a key role in ensuring smooth administrative operations while supporting internal and external constituents. This position reports primarily to the Vice President for Institutional Advancement and may also receive direction, assignments, and performance feedback from the Senior Assistant to the President.
Appointment Date will be from June 2026 to October 28, 2026
The Administrative Assistant serves as an integral resource to the College community by assisting with event and meeting planning, managing administrative functions, handling billing and invoicing for satellite programs, and providing high-touch customer service. The successful candidate will demonstrate strong organizational skills, the ability to work independently, attention to detail, and a commitment to creating positive, professional experiences for a wide range of audiences.
Key Responsibilities
  • Coordinate and support daily office operations, projects, and administrative activities
  • Assist with the planning and logistics of meetings and events
  • Manage calendars for individuals and meeting rooms; schedule and coordinate meetings
  • Maintain organized files and records; ensure adherence to deadlines and budgets
  • Handle billing and invoicing for satellite programs
  • Provide front-line customer service, including answering phones, greeting guests, and responding to inquiries
  • Serve as a resource to campus partners and external constituents
  • Resolve routine concerns and escalate issues as appropriate

Required Qualifications
  • Minimum of an associate degree with relevant administrative experience
  • Superior verbal and written communication skills
  • Ability to exercise independent judgment and maintain confidentiality
  • Proficiency with Office 365 (Word, Excel, PowerPoint), Adobe Acrobat, and social media platforms
