What you will do:

The Inside Sales Coordinator supports the Inside and Outside Sales teams by coordinating customer orders, processing quotations, facilitating communication across departments, and delivering exceptional customer service. This role serves as a key liaison between customers, sales, operations, vendors, and production teams to ensure orders are processed accurately and efficiently from quote through delivery. The ideal candidate is organized, customer-focused, and thrives in a fast-paced building materials environment.

Sales & Order Coordination

  • Support Inside and Outside Sales Representatives with daily sales activities and customer requests
  • Prepare, process, and maintain accurate quotes, purchase orders, sales orders, and related documentation
  • Monitor order status and coordinate updates to ensure timely order fulfillment
  • Assist with product pricing, availability, and order revisions as needed
  • Maintain accurate customer and sales records within company systems

Customer Service

  • Serve as a primary point of contact for customers via phone, email, and in-person interactions
  • Respond to customer inquiries regarding products, pricing, order status, and delivery schedules
  • Build positive customer relationships through responsive communication and exceptional service
  • Resolve customer concerns by coordinating with internal departments and vendors

Cross-Functional Coordination

  • Collaborate with shipping, receiving, production, purchasing, warehouse, and delivery teams to ensure seamless order execution
  • Coordinate with vendors to obtain product information, pricing, lead times, and order updates
  • Assist in resolving inventory, delivery, and product availability issues
  • Support new customer onboarding and account setup activities

Administrative & Operational Support

  • Prepare reports, sales documentation, and administrative records as requested
  • Maintain organized customer files and sales documentation
  • Assist with receivables collection and account follow-up as needed
  • Support continuous improvement initiatives that enhance sales processes and customer satisfaction

Product Knowledge & Compliance

  • Develop and maintain knowledge of company products, services, and industry trends
  • Ensure compliance with company policies, procedures, and quality standards
  • Perform additional duties as assigned

  • Ability to sit and work at a computer for extended periods
  • Occasional visits to customer locations or jobsites may be required
  • May require flexibility to meet business demands and customer deadlines
