Job Summary
Responsible and accountable for coordinating all daily work assignments for HIM Record Analysts. Assists providers with any dictation issues that may arise. Works as a backup to ensure providers are properly notified of delinquent status and privileges suspended as required by Medical Staff Bylaws & Rules/Regulations and/or policy. Will assist in facilitating with other departments, Physicians, hospital personnel, and outside health care providers. Works deficiency work queue daily. Acts as a liaison between Release of Information staff and NGHS staff to ensure that medical records requests are completed timely.

  • Minimum Experience: 3-5 years recent experience in acute care HIM Department. RHIT or RHIA certification can be considered in lieu of experience.

  • Ability to effectively use computer software and technology as required by the department including OnBase, Epic, Microsoft Word, Excel, ServiceNow, RL6, CMS (Avaya) Supervisor, MyChart.
  • Excellent customer service skills, by being attentive, respectful and professional at all times; ensures understanding of customer request and follow-through as promised.
  • Ability to use fax, copier, microfilm machine, and multiline phone system and other required work tools.
  • Strong analytic and computer skills.
  • Requires critical thinking, analytical, work prioritization and organizational skills.

Essential Tasks and Responsibilities
  • Supports Analysis Team: Facilitates the accurate and timely processing of record completion utilizing the hospital's computer systems; making corrections as needed. Recognizes and reports inconsistencies in documentation by the Physician and/or patient care services. Resolve ServiceNow tickets assigned to the HIM Coordinator. Reviews daily and works Analysis Queues, and other HIM Work queues as assigned. Conducts quantitative and qualitative analysis of medical record utilizing knowledge of federal regulations, accreditation guidelines, Medical Staff Bylaws/Regulations, and hospital policy. Monitors all of the HIM Record Analysts workload to ensure smooth and timely turn around time for analysis processes. Works assigned work queues in Epic
  • Team Lead Duties: Create a trusted work environment for employees through team building, coaching, constructive feedback, work delegation, personal example and goal setting that encourages creativity, open dialogue on work issues, professional growth, and a consistent, high level of performance; encourage and support employee decision-making within his or her scope of responsibilities. Assists in identifying process improvement opportunities through root cause analysis, develop action plan, and report results. Maintains standard work for assigned department areas, including training notebooks. Creates and maintains sample patient charts. Facilitates and Performs Daily Huddle Meetings for designated areas. Facilitates the accurate and timely processing of record completion utilizing the hospital's computer systems; making corrections as needed. Provides assistance to HIM Operations Manager, including productivity and quality goal creation, New Employee Checklist, Competency Skills Checklist, and departmental policies and procedures for the Analysis Team . Resource for training and mentoring team. Completes Analysis monthly reports and audits in a timely manner by established due dates. Audits a daily percentage of all HIM Record Analysts. Records in QA quality spreadsheet./Audits any errors in analysis reported through HIM: Physician Decline Queue, in Epic, or by end users (through emails). Reviews and tracks daily production logs/standard work sheets for HIM Record Analysts. Records in productivity spreadsheet. Develops and maintains training material for initial and ongoing training for HIM Record Analysts. Responsible for facilitating Analysis extended huddles
    Creates, maintains, and updates all standard work procedures and worksheets for HIM Record Analysts. Manages Analyst teams in regards to scheduling PDO requests to ensure coverage is in place prior to Manager's final approval. Work with Manager to resolve any coverage issues, when needed, as requests are made.
    Responsible for creating monthly work schedules for Floater Schedules, in coordination with other HIM Team Leads. Serves as a resource for HIM system upgrades, Serves as a subject matter expert for Epic Systems. Serves as a back up to other HIM Team Leads as needed.
  • ROI Liaison: Audits turn around times for medical records requests to ensure timely processing. Reviews requests received from Risk for timely processing and bring any issues to the attention of the HIM Operations Manager. Processes requests for records for surveys (CMS, DPH, DNV). Reviews weekly reports from ROI regarding Chart squad requests to ensure processing is correct and timely. Serves as a liaison between ROI staff and NGHS.
  • HIM and other assigned Duties: Epic and Other Systems Testing/Upgrades, which may include being a Super User for Said System. Performs daily tasks in EPIC, Outlook, Hyland OnBase, Microsoft Office and other systems mentioned above. Recognizes and reports inconsistencies in documentation by clinical users. Reports deviations of departmental performance to HIM Operations Manager with action plan for resolution.
    Assists with development and implementation of departmental procedure and service levels related to productivity and quality. Identifies process improvement opportunities through root cause analysis, develop action plan, and report results. Covers HIM staff, if needed. Perform extra duties as assigned.
