Job Summary

St. Luke Portage Lakes is seeking a professional, organized, and dependable Receptionist / Administrative Assistant to join our team. This position serves as the first point of contact for residents, families, visitors, and staff while providing essential administrative support to ensure the smooth operation of our facility.

The ideal candidate will possess strong communication skills, excellent attention to detail, and the ability to manage multiple responsibilities in a fast-paced healthcare environment.

Key Responsibilities

  • Greet residents, families, visitors, vendors, and staff in a professional and friendly manner.

  • Answer and direct incoming phone calls, take messages, and respond to inquiries.

  • Maintain a welcoming and organized reception area.

  • Process incoming and outgoing mail, packages, faxes, and deliveries.

  • Schedule appointments and maintain accurate records and documentation.

  • Create, organize, and maintain employee personnel files.

  • Assist with payroll processing and timekeeping functions.

  • Support CMS and state compliance requirements by maintaining accurate documentation and records.

  • Perform data entry, filing, scanning, copying, and other administrative duties.

  • Prepare reports, correspondence, and facility communications as needed.

  • Collaborate with department managers to ensure administrative tasks are completed efficiently.

  • Maintain confidentiality and comply with HIPAA regulations and company policies.

Qualifications

  • High school diploma or GED required.

  • Associate degree in Business Administration, Healthcare Administration, or a related field preferred.

  • Previous receptionist, administrative assistant, healthcare, or office experience preferred.

  • Knowledge of payroll processes and employee record management is a plus.

  • Familiarity with CMS regulations and state compliance requirements is preferred.

  • Strong customer service and interpersonal skills.

  • Excellent verbal and written communication abilities.

  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
