Flying S Title & Escrow is a subsidiary of Title Financial Corporation. We seek an Escrow / Title Assistant to join our team in Red Lodge, MT. TFC is a family-owned company that has been providing Title and Escrow Services since 1905. About the position

The Escrow Assistant/Title Assistant is responsible for assisting the escrow and title staff by performing general support tasks to maintain departmental efficiency. This position is responsible for promptly answering incoming calls and transferring callers to the requested party. When visitors and callers are uncertain about whom to contact, this position gathers information to determine how to assist them. Escrow Assistant/Title Assistant requires good interpersonal and verbal communication skills.

Under supervision, the position gathers documents and processes paperwork required for all payoffs, liens, and clearing titles for routine escrow transactions. The Escrow Assistant/Title Assistant communicates with various types of lenders, realtors, attorneys, customers, etc., in order to facilitate information gathering.

This position reports to the President and County Manager.

Job Duties Include:

  • Answer telephone calls courteously, timely, and professionally; routes to appropriate individuals or departments; and takes accurate messages.
  • Greet clients and address their questions and concerns.
  • Assist escrow staff in preparing for closing by requesting pay-off statements and figuring loans, lien releases, insurance, commissions, and legal records and/or necessary documents to ensure that lender instructions coincide with the purchase agreement.
  • Communicate and send lender packages according to closing instructions. Disburses funds in accordance with standard accounting procedures and customer requirements.
  • Input, access, and retrieve data relevant to closings.
  • Processes title orders received from clients via email, fax, telephone, or in person, by inputting data into the production system, while following company policies, procedures, and service level requirements.
  • Facilitate recording of documents. This includes but is not limited to reviewing, preparing, and distributing documents for recording and documenting files associated with documents to be recorded. Provide timely confirmation to all necessary parties of the recording status.
  • Perform duties of courthouse searcher, which include searching and copying tax statements, searching the Grantor/Grantee books for liens, and judgment searches.
  • Investigate chains of title and a variety of documents to determine the legal status of properties prior to commitment or policy issuance.
  • Input data in the production system for commitments.
  • Upload all necessary documents into the document retention software and complete all required information.
  • Perform a variety of clerical tasks, which may include updating existing files, mail duties, banking transactions, filing, ordering supplies, typing documents, making copies, scanning documents, obtaining assessments, and light bookkeeping.
  • Supports corporate core values, purpose, goals, and culture.
  • React to change positively and productively, including as a result of the expansion of job responsibilities and expectations.
  • Adheres to all company policies and standards, including the expectation of prompt, predictable, and regular attendance.
  • Other job duties as required.
  • Meets with attorneys, realtors, lenders, and customers to review and/or draft the escrow instructions and agreements for residential and basic commercial closings. Facilitates the objectives of the parties in closing the escrow.
  • Conducts the execution of closing documents, both on and off the companyโ€™s premises, and approves the finalized closing statements. Communicates and sends lender packages according to closing instructions. Disburses funds in accordance with standard accounting procedures and customer requirements.
  • Other job duties as required.

  • Must obtain a notary within 30 days of employment.

Education and Experience:

  • Must be at least 18 years of age.
  • Must have a valid driverโ€™s license and have the ability to pass an MVR and background check.
  • High school diploma or equivalent.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 50 pounds at times.
