Executive Assistant

Description We are seeking a proactive and highly organized Executive Assistant to support our executive leadership team. This role is crucial in ensuring smooth day-to-day operations, enabling leadership to focus on strategic initiatives. The ideal candidate thrives in a fast-paced environment, excels at problem-solving, and has a keen eye for detail.
What You'll Be Doing
  • Executive Support : Manage complex calendars, coordinate meetings, and prioritize executive schedules to maximize efficiency.
  • Communication & Coordination : Act as a key liaison between executives and internal/external stakeholders, ensuring clear and timely communication.
  • Meeting & Event Management : Plan and execute leadership meetings, prepare agendas, take minutes, and track action items to ensure follow-through.
  • Travel & Expense Management : Arrange domestic and international travel, accommodations, and itineraries while managing expense reporting.
  • Project & Office Management: Assist in special projects, including research, presentations, and operational initiatives to support business objectives.
  • Confidentiality & Discretion : Handle sensitive company information with the highest level of professionalism and confidentiality.
  • Management of Travel Logistics : management of executives travel arrangements, scheduling, and calendaring (both personal and professional)

What We're Looking For
  • 3+ years of experience as an Executive Assistant, ideally in a SaaS, tech, or startup environment.
  • Exceptional organizational and time-management skills, with the ability to anticipate needs and proactively address challenges.
  • Strong written and verbal communication skills; ability to craft professional correspondence and presentations.
  • Tech-savvy, with proficiency in Google Workspace, Slack, Zoom, and project management tools (e.g., Linear).
  • Ability to juggle multiple priorities and work under pressure while maintaining a high level of accuracy. Occasional availability on weekends may be necessary.
  • A strong sense of discretion and professionalism when handling confidential matters.
  • Experience managing travel logistics, expenses, and supporting C-level executives.
