Role Summary:
Wave is seeking an experienced and highly motivated Executive Assistant to support our Sales Leadership team, including the Executive VP/Head of Sales, and Chief Business Officer. This person will serve as the primary support for the Head of Sales, while also managing the calendar of our CBO. In addition, this role will own key Office Management responsibilities, ensuring the smooth day-to-day operation of our workplace, supporting employee experience initiatives, coordinating vendors and facilities, and helping maintain an organized, efficient office environment.

The ideal candidate will be a strategic thinker with exceptional organizational skills, a keen eye for detail, and the ability to manage multiple tasks efficiently. As the primary point of contact for internal and external stakeholders, you will be crucial in ensuring smooth operations and effective communication across the organization.

 

Responsibilities

Executive Administration:

  • Administrative Support: Manage complex calendars, schedule meetings, maintain monthly expense reports, and coordinate travel arrangements.
  • Meeting Coordination: Organize and facilitate meetings, including preparing agendas, taking minutes, and tracking action items. Ensure follow-up on key discussions and decisions.
  • Project Assistance: Assist with various sales-related projects, including preparing reports and coordinating with team members to meet deadlines.
  • Confidentiality: Handle sensitive and confidential information with discretion and professionalism.
  • Process Improvement: Identify and implement process improvements to enhance the efficiency and effectiveness of the sales department’s operations.
  • Team Support: Coordinate and support events, conferences, and team-building activities. Manage logistics, including venue arrangements, catering, and guest lists.

Office Management:

  • Office Management: Monitor, order, and stock office and kitchen supplies, ensuring we never run out of the essentials.
  • Vendor Relations: Serve as the primary point of contact for building management, IT support, cleaning crews, and utilities.
  • Event Planning: Assist with internal event planning (team lunches, happy hours, holiday parties) and coordinate travel logistics or meeting room scheduling when needed.
 

Qualifications

  • Prior experience supporting Executives in a startup or fast-paced environment
  • Exceptional organizational and time-management skills
  • Strong written and verbal communication skills
  • Proficiency in G Suite and Microsoft Office (Word, Excel, PowerPoint), with the ability to quickly learn new digital tools
  • Ability to work independently and manage multiple priorities with minimal supervision
  • Proven problem-solving skills and strong attention to detail
  • High level of professionalism, judgment, and discretion
  • Proactive, resourceful, and solution-oriented with a positive attitude
  • Strong interpersonal skills and the ability to build effective relationships with stakeholders at all levels
  • Demonstrated ability to prioritize competing tasks and deadlines without letting details slip
  • Experience in media, entertainment, or a related industry is a plus

This role is a full-time position with a base salary range of $90,000 - $100,000/year, and may be eligible for an annual bonus and equity. Actual salary at the time of offer may vary based on multiple factors, including an individual's experience level and qualifications. Physical Requirements & Work Environment

  • Capacity to operate a computer and other office productivity machinery and hardware.

  • Able to work full-time M-F and nights and weekends as needed.
  • The worker is not substantially exposed to adverse environmental conditions and work is performed in a business office environment.
  • The worker may be exposed to variable lighting conditions (brightness or darkness) and noise during production when in the office.
