OPERATIONS & EXECUTIVE SUPPORT MANAGER
Hospitality Investment Firm • Miami, FL • USD $60,000, Negotiable
ABOUT THE ROLE
We are searching for an Operations & Executive Support Manager for a Miami-based hospitality investment firm. This is a high-trust, fully in-office role for someone who thrives in a fast-moving environment and takes genuine pride in keeping things running smoothly. You will be the operational anchor of the office and a trusted right-hand to senior leadership, blending executive assistance with office management and cross-functional support.
One non-negotiable: this firm is serious about AI. They want someone who already uses AI tools daily as a core part of how they work, not someone curious about it.
WHAT YOU'LL DO
• Manage the COO's calendar, correspondence, and complex domestic and international travel logistics
• Prepare briefing materials, meeting agendas, and follow-ups for senior leadership
• Oversee the day-to-day running of the Brickell office, including vendors, facilities, and supplies
• Coordinate in-office events, executive engagements, and team gatherings
• Provide project-based support to the marketing function on select deliverables
• Drive process improvements and support internal documentation and communications
WHAT YOU BRING
• 3 to 5 years of executive assistant experience supporting C-suite or senior leadership
• Demonstrated daily use of AI tools (ChatGPT, Claude, Copilot, or similar) - this will be assessed at interview
• Based in Miami; Brickell-adjacent strongly preferred. This is a fully in-office role with no remote option
• Highly organised, discreet, and proactive with strong written and verbal communication skills
• Proficient in Microsoft Office and Google Workspace
• Spanish fluency is a meaningful advantage given the firm's regional footprint
