Position Summary 

The Events Coordinator will support the planning, coordination, and execution of Sy-Klone's global event marketing program, including trade shows, conferences, corporate events, customer events, onsite training programs, and industry meetings. This role serves as the primary point of contact for event logistics, vendor management, merchandise coordination, and event execution while partnering closely with the Marketing Manager to ensure events support business objectives and deliver a positive customer experience. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple projects simultaneously in a fast-paced environment.

Essential Duties and Responsibilities

  • Plan, coordinate, and execute a portfolio of industry trade shows, conferences, customer events, corporate events and onsite training programs.
  • Manage event logistics, including registrations, travel arrangements, venue coordination, shipping, installation schedules, and event timelines.
  • Serve as the primary point of contact for event organizers, vendors, suppliers, and other external partners.
  • Coordinate booth requirements, event materials, and promotional assets in partnership with the Marketing Manager and Graphic Designer.
  • Manage event-related merchandise, promotional products, inventory, and fulfillment activities.
  • Support the planning and execution of distributor, customer, and partner training events, including our onsite Sy-Klone University program.
  • Coordinate event staffing requirements and communicate schedules, expectations, and event objectives to internal participants.
  • Maintain event calendars, project plans, and event documentation to ensure successful execution across multiple concurrent events.
  • Build and maintain strong relationships with event organizers, industry partners, customers, and internal stakeholders.
  • Support broader marketing initiatives and special projects as needed.

  • Bachelor's degree in Marketing, Communications, Business, Event Management, or a related field preferred; equivalent experience considered.
  • 3+ years of experience in event marketing, trade show management, event planning, or a related role.
  • Proven ability to manage multiple projects, deadlines, and competing priorities simultaneously.
  • Experience coordinating logistics for trade shows, conferences, training events, or customer-facing programs.
  • Strong vendor management and relationship-building skills.
  • Experience supporting budget management and expense tracking.
  • Strong organizational skills and attention to detail, with the ability to anticipate issues and proactively resolve challenges.
  • Excellent written and verbal communication skills with the ability to collaborate effectively across departments and with external partners.
  • Proficiency with Microsoft Office products including Excel, PowerPoint, Word, and Outlook.
  • Experience with CRM systems, event management platforms, marketing automation tools, or registration systems preferred.
  • Ability to work independently while maintaining strong communication and collaboration with the broader marketing team.
  • Experience in manufacturing, industrial, B2B, or technical industries preferred.
  • Experience in high-growth or small-company environments strongly preferred.
