Job description

The Legal Assistant Intake Specialist plays a critical role in supporting the legal team by managing client intake processes and ensuring accurate documentation and case management. This position involves using specialized software to handle client information, scheduling, and communication while maintaining confidentiality and organization. The specialist reports to the Intake Supervisor and typically manages a moderate caseload of 20-50 clients per week with no travel requirements.

Responsibilities

  • Manage client intake using Clio, LawRuler, and MerusCase software
  • Prepare and organize legal documents efficiently
  • Maintain accurate records and case files
  • Enter and update client data in case management systems
  • Schedule appointments and coordinate client communications
  • Conduct basic legal research to support case preparation
  • Ensure strict confidentiality and data protection practices
  • Support overall case management for prospective clients and file organization
  • Perform other duties and responsibilities as assigned to support the operational needs of the firm. Job duties may be modified, expanded, or adjusted from time to time based on business needs, staffing requirements, and organizational priorities.

Required Qualifications

  • Proficiency with case management software
  • Must be technologically proficient and comfortable learning and utilizing various software programs, web-based platforms, and office technologies in a fast-paced environment.
  • Strong understanding of legal terminology
  • Experience with Microsoft Office Suite
  • Excellent communication and organizational skills
