We are expanding and looking for a Front Desk Medical Receptionist who is personality plus — someone who lights up a room, loves helping people, and takes pride in creating an exceptional experience for every patient who walks through our door.
Our Customer Care Specialist is the heartbeat of our clinic. This entry-level administrative role blends customer service, scheduling, patient onboarding, insurance handling, and daily clinic coordination. You set the tone for each patient’s journey with us — from the first welcome to the final graduation bell. You’ll work closely with our Clinical Director, therapists, and operating manager to keep the clinic running smoothly, ensuring every interaction is friendly, efficient, and unforgettableBenefits

  • Answer phone calls and manage patient questions, intake, and scheduling

Front Office Operations & Scheduling
  • Schedule evaluations and follow-up appointments with accuracy and efficiency

  • Convert referrals into timely evaluation appointments

  • Manage daily schedules for therapists to maximize access and minimize gaps

  • Maintain an organized, professional, and clean front office

Insurance & Payments
  • Verify insurance coverage and authorization requirements using established processes

  • Clearly communicate benefits and financial expectations to patients

  • Collect patient payments at time of service

  • Prepare daily deposit summaries

Clinic Support & Administrative Excellence
  • Monitor patient arrival rates and proactively follow up on cancellations or missed appointments

  • Support documentation workflows and routing

  • Assist with physician outreach or patient communication when needed

  • Track clinic supplies and notify the operations team as needed

  • Support special events, marketing activities, or community engagement efforts

Work Environment & Schedule
  • Full-time, Monday–Friday (40 hours/week) or Part-time also available

  • Primarily seated office work with frequent interaction with patients, families, therapists, and vendors

  • Normal front-office physical activity (walking, light lifting <20 lbs., computer use, phone work)

  • Occasional support for community events or patient workshops
