Hope Valley Country Club, located in Durham, North Carolina and managed by Bobby Jones Links, was founded in 1926. Hope Valley is an elite private club featuring a classic Donald Ross-designed golf course, state-of-the-art racquet facilities, a resort-style pool complex, and a spacious and welcoming clubhouse offering first-class recreation, dining, events, and programming.
Hope Valley Country Club is seeking a highly organized, personable, and proactive Front Desk Assistant to join our team. This position serves as an important point of contact for our membership while also providing administrative, communications, marketing, and event support across multiple Club departments.
The ideal candidate will be a strong communicator who enjoys working with people, is highly organized, takes initiative, and is comfortable managing multiple responsibilities in a fast-paced private club environment.
Specific Job Responsibilities
  • Provide a warm and professional welcome to all members and guests upon arrival.
  • Maintain a positive, professional, and service-oriented attitude when interacting with members, guests, and fellow employees.
  • Answer incoming telephone calls using the appropriate Club greeting and communicate in a professional and effective manner.
  • Assist with billing and administrative reconciliation for member events.
  • Add, maintain, and update member information within the Club directory, website, newsletter, and other Club platforms.
  • Provide administrative support to Department Heads as needed.
  • Support the Club calendar, including event updates, scheduling, logistics, and tracking member registrations.
  • Conduct weekly website audits and make necessary updates to ensure information remains current and accurate.
  • Assist with the preparation and distribution of daily, weekly, and monthly Club communications.
  • Create and manage member dining reservations and event registrations.
  • Coordinate and order office and operational supplies for Club departments.
  • Create and maintain Excel spreadsheets, Word documents, reports, and other administrative materials.
  • Support the design, promotion, and communication of member events in collaboration with the Club's events and management teams.
  • Create professional, on-brand flyers, signage, event collateral, and digital communications using Canva and other approved design platforms.
  • Manage the Club's social media presence, including planning, creating, scheduling, and publishing content that reflects the Hope Valley brand and encourages member engagement.
  • Assist with additional administrative and operational responsibilities as assigned.
Required Skills & Qualifications
The successful candidate should possess:
  • Excellent verbal and written communication skills.
  • A friendly, professional, and hospitality-focused demeanor.
  • Strong organizational and time-management skills with the ability to manage multiple priorities simultaneously.
  • The ability to work independently, anticipate needs, and take initiative rather than simply react to assignments.
  • Strong computer skills, including proficiency in Microsoft Excel, Word, and Outlook.
  • Proficiency in Canva, with the ability to create polished, professional, and on-brand materials.
  • Experience creating flyers, signage, event collateral, and digital communications.
  • Familiarity with social media management, including content creation, scheduling, posting, and engagement.
  • Strong attention to detail and commitment to accuracy.
  • A minimum of two years of administrative experience.
  • Availability to work five days per week, including Saturdays, as well as key Club holidays and events, including Easter, Mother's Day, Memorial Day, July 4th, Labor Day, and Thanksgiving.
